Student Administration & Support Officer / Academic Administration Officer

Grade UE06 £31,396 to £36,024 per annum (A revised salary range for this grade of £32,982 to £38,205 is planned to take effect from Spring 2024)

We are looking for two enthusiastic, professional, customer-focused and efficient administrative officers to provide a full range of specialist support for academic and governance processes relating to degree programmes in the College of Arts, Humanities and Social Sciences. These varied and impactful roles offer the opportunity to gain insight and experience across the College, working with Schools and central University teams to support the whole student and academic lifecycle.

Two individual roles are available; a Student Administration & Support Officer, and an Academic Administration Officer. Candidates are encouraged to indicate in their application if they are interested in one or both roles.

The Opportunity:

The Student Administration & Support Officer will manage student casework relating to taught programme degree progression across the College in support of the College Deans, including academic misconduct, regulatory concessions, Support for Study, Fitness to Practise and study abroad progression. They will be committed to ensuring the effective operation of the Student Progression team, providing high-level support for enhancement projects, assisting in the design and delivery of student experience initiatives, and contributing towards the ongoing development of College processes and working practices.

The Academic Administration Officer will provide specialist support relating to academic quality assurance, enhancement of learning, teaching and student experience and academic programme governance for all taught and research degree provision in CAHSS. They will take a proactive lead in a variety of enhancement initiatives for the College, supporting the strategic activity of the College Deans and the College Senior Academic and Student Administration leads, often through coordination of college Committees, forums and working groups. They will be committed to providing professional, customer focused and efficient support ensuring the effective operation of the Governance, Quality Assurance and Enhancement team.

Both roles will act as a senior point of contact within their respective teams, and will provide authoritative advice and clarification to colleagues across the College in relation to academic and quality assurance policies, regulations, and procedures.

Candidates for both roles will have recent relevant experience of working in a varied, administrative or student support role in the higher education sector, ideally with a focus on student casework or learning and teaching administration within higher education.

  • A strong customer-focused attitude and proven commitment to excellent standards of customer service
  • Excellent written and oral communication skills and the ability to form and sustain excellent working relationships.
  • Ability to interpret and apply regulations and policies to complex situations
  • Experience of making recommendations to senior colleagues
  • Proven ability to analyse and manipulate data, in order to reach evidence-based conclusions, and present accurately and clearly
  • Ability to identify appropriate approach to differing areas of work, for example, knowing when discretion and diplomacy are necessary
  • Proven ability to juggle a variety of competing priorities and timescales through effective time-management and organisational skills
  • High level of digital skills including experience in designing management information reports and significant experience in Microsoft software, including Excel and SharePoint

About the team:

The College Academic and Student Administration Office brings together all staff directly involved in the delivery of learning and teaching governance and academic and student administration for programmes across the College of Arts, Humanities and Social Sciences working with undergraduate/postgraduate students and academic/professional services colleagues across 12 Schools. The College a large and diverse part of the University. Led by Vice-Principal Professor Sarah Prescott, it has 13,800 undergraduates, 5,500 taught postgraduates, 1,300 research students and more than 3,800 academic and professional services staff. The College incorporates 11 Schools (Business; Divinity; Economics; Edinburgh College of Art; Education; Health in Social Sciences; History, Classics and Archaeology; Law; Literature, Languages and Cultures; Philosophy, Psychology and Language Sciences; and Social and Political Science), the Edinburgh Futures Institute and the Centre for Open Learning. The College is located on multiple sites across Edinburgh, with the majority of Schools and College Offices based close to the central George Square area.
