  Administrative Coordinator
Department: Admin
Direct Report to: Business Support Supervisor

Scope of Role:

You are responsible for general administrative duties which support the business. There are admin responsibilities across our Customer Engagement, legal, accounts and new business teams. Your role is to provide support to each business area in times of increased demand/workload.

Operating Hours:
37.5 hours per week Flexibility is required at times; however, you will normally be required to work the following hours:
• Monday – Friday: 09:00am – 17:30pm

Responsibilities:
Supporting the new business department by accurately loading debt matters into the in-house system, updating spreadsheets, opening mail, sending invoices, franking post, etc.
. Supporting the legal department by accurately scanning and photocopying documents, actioning emails, liaising with clients, updating customers, raising Court forms, etc.
. Supporting the customer engagement team by updating accounts, updating reports, dealing with account queries, posting invoices, etc.
Supporting the accounts team by making credit control calls, keeping the account software up to date.
 Helping to post daily transaction (absence cover)
 Ensure customer accounts are noted accurately and kept up to date.
 Ensure all activities are carried out in accordance with the company, regulatory and data protection requirements.
Control and manage your workload effectively and efficiently and follow company processes.
 Remain flexible and committed within a fast-paced environment demonstrating an ability to handle multiple tasks with a proactive approach.
 Play a key role in driving continuous improvements within the team and company.
 Any ad-hoc duties required as instructed by Management.

Required Knowledge and Experience:
Education • Good level of general education to GCSE’s or GNVQ/NVQ qualification or equivalent
Business Experience • Strong MS Office Skills (Outlook, Excel and Word), preference intermediate level for Excel skills.
• Excellent typing speed, with accuracy.
• Highly organised with excellent attention to detail and the ability to adhere to strict deadlines.
• Awareness of the importance of confidentiality, information security and data protection.
• Excellent written and verbal communication skills
Core Competencies • You must be IT literate with experience of using Word and Excel
• Ability to manipulated Excel spreadsheets to intermediate level
• Ability to prioritise workload, to be organised and efficient
