Job Title - Administration Lead for Paediatric Diabetes
Hours per week - 15
Perm/Fixed Term - Permanent
Salary - £25,147 - £27,596 per annum

The post holder will play a key role in providing a comprehensive administrative service to the Paediatric Diabetes team with responsibility for liaising with other Trust departments/clinical areas/external agencies regarding governance issues; managing diaries; arranging and supporting (including providing accurate and complete minutes for) assist the clinical team in producing selected high-quality reports, papers and correspondence on behalf
They will be an effective administrator for all issues relating to the paediatric diabetes team . They will ensure that confidential, sensitive, contentious information is communicated clearly and in a timely fashion to a variety of stakeholders in the development, coordination and management of key areas in respect of the Trust’s Quality Governance agenda, whilst maintaining good Trust-wide working relationships with both clinical and non-clinical staff

Deal efficiently and effectively with direct and indirect (i.e. telephone, face to face) enquiries from all levels of medical and nursing staff and other health professionals and staff and patients and their families. Respond to complex enquiries, providing routine and non-routine information and non-clinical advice/guidance, resolving problems where possible. Communicate appropriately with all levels of staff groups. To sensitively provide and receive complex information using tact and adapting communication style to meet the needs of individual levels of understanding. Recognise the importance of timely management of controlled documents in accordance with legislation, policy and procedures.
Attend to all communications/enquiries when on duty and bring to the teams attention as appropriate
Accurately transcribe all correspondence by touch typing from audio/digital dictation or shorthand using knowledge of medical terminology. Generate routine and non-routine correspondence independently.
To develop, implement and maintain office systems to enable the Paediatric Diabetes Team to operate smoothly and effectively, this will include developing/maintaining databases, reorganising office practices, and proposing/implementing changes to policies/procedures to support improvements Also responsibility for office equipment, ordering and maintaining office supplies,
Use of e-mail, electronic diaries, intranet/internet. Providing general clerical duties including filing and photocopying.
Solely arranging and co-ordinating a variety of meetings, events, conferences, workshops, presentations with various professions and agencies (including external) relating to the teams agendas/work streams
Maintain the team’s diary, booking appointments etc.
Provide accurate and confidential information to assist with data entry, strictly adherent to Caldicott and Data Protection Act and retrieval of patient information via the Lorenzo and other departmental computer software programmes.
Assist with audit/survey work in line with Paediatric Diabetes Team requirements. Able to work autonomously within Trust policies and procedures, whilst obtaining advice from the line manager as required.
