Job description

Act independently to plan, manage and prioritise own time and workload as well as that of the Pathology Office, Central Specimen Reception and Secretarial team. To assist with the planning of the rosters for Pathology administration office, Specimen Reception, and Secretarial staff, ensuring that the services provided are of a high standard. To ensure that there is a continuation of key services when staff absences occur. Liaise with Consultants, junior medical, BMS, technical and administrative Staff (in Pathology); GPs, Consultants and all levels of staff within the hospital and at other hospitals. To author and contribute to the planning and development of policies relating to the role and to ensure that all the staff that they line manage keep up to date on policies and training. To assist with the recruitment of new members of staff in accordance with the Trusts policies. To ensure that staff attend the initial Induction Course and keep up to date with Statutory Training in accordance with Trust policy. To keep up-to-date personnel records for those staff that are under their management to include annual leave, sickness records and to carry annual staff appraisals. To record and populate Health Roster for Consultant Pathologists annual, study and sick leave. To assist with the procurement of goods and services for the department. To liaise with outside agencies (ie GPs and Hospital Users) to ensure that they are provided with access to the Pathology service ie new user set up and user queries. To implement the quality policy for the department including the agreed quality objectives. To contribute to the implementation of UKAS standards for the department using the Pathology Quality Management System as established, to fulfil the quality circles and audit inherent to the ISO 15189 standards of compliance. To assist in the action plans required resolving nonconformities that are recorded by internal and/or external audits or complaints and to ensure the completion of corrective and preventative actions that have been identified. To follow the Standard Operating Procedures [SOP] for the department utilising the Document Management Module of the Q-Pulse system. To deliver training, providing one to one training and competency assessments in accordance with ISO 15189. This includes completion of the training and competency assessment documents and assisting in the gathering of evidence for staff. To comply with Policies and Procedures commensurate to role. To apply knowledge and skills in the department for operational and technical support in administrative tasks. To conduct and complete departmental audits whether vertical, horizontal or examination audits relevant to the service. To implement the Risk Management Policy for the department such as the reporting of incidents, accidents and adverse events ensuring that Risk Assessments are followed commensurate with the role. To contribute to the department communication in disseminating and receiving information, arising from the management, operational and Health & Safety meetings, to colleagues where necessary. To regularly assess the service performance providing information where required for the quality monitoring report for the department. To provide Administration support to the Laboratory Managers of Blood Sciences and Cellular Pathology, Microbiology, and the Clinical Biochemists. To attend Pathology meetings and provide administration support including the distribution of agendas and producing formal minutes of these meetings. To ensure effective communication with laboratory staff, members of the public, General Practitioners, and hospital staff at all levels. To bring to the attention of the department laboratory senior/manager any problems or difficulties encountered in the performance of their duties. To attend an annual appraisal from your line manager. Undertake other duties commensurate with the post as directed Be fully conversant with various software programmes (after training), including the Pathology computer system relating to user set up, report entry to ensure correct reports are issued and any errors rectified, Datix for incident reporting, PIMS for patient information, and the ICE system for laboratory reporting.
