We have a brand new opportunity for an Administrative Assistant to join our Executive Support Team.
You will be assisting in administrative tasks for Management Board Meetings and provide support to the Executive Assistant and senior Personal Assistants who aid the Management Board directors.
What you'll be doing:
- Scheduling meetings, meeting rooms, and issuing invites.
- Drafting meeting agendas and capturing future agenda items.
- Co-ordinating presenters and sharing meeting and timings in a timely manner.
- Support preparation and circulation of papers for all Management Board meetings, including uploading onto an appropriate MS Office platform.
- Supporting the Company Secretarial Assistant with AWS & AWG Board meeting preparations to include:
- Booking travel and accommodation (and associated requirements for lunch and equipment etc.) for Board meetings, seminars, and conferences
- Processing expenses
- Ad hoc projects and support with senior visits and events.
- Coordination of the Board's safety clothing and equipment requirements.

What does it take to be successful?
- Experience working in a similar administration role in a commercial corporate environment
- Experience of organising and booking events
- Good knowledge of Office 365 including powerpoint, excel, teams, word etc
- High level of attention to detail
- Strong organisation, prioritisation and planning skills
- Problem solving skills
- Listening and Communication Skills - Deliver information in a clear and concise way, avoiding jargon with the ability to adapt own communication style to the needs of the audience
- Displays a high level of discretion and confidentiality.
