Job description

Administrator / Facilities Administration Assistant with excellent customer service, communication and organisational skills and previous experience in a similar customer facing role is required to join a well-established housing association based in Winchester, Hampshire.

SALARY: £23,944 - £25,205 per annum + Generous Benefits (see below)

LOCATION: Winchester, Hampshire (SO23) - 100% Office Based

JOB TYPE: Full-Time, Permanent

WORKING HOURS: 35 hours per week, Monday to Friday

JOB OVERVIEW

We have a fantastic new job opportunity for an Administrator / Facilities Administration Assistant with excellent customer service, communication and organisational skills and previous experience in a similar customer facing role.

As the Administrator / Facilities Administration Assistant you will join the Facilities division and will be responsible for providing a customer focused service to support the efficient operation and maintenance of the office and other site facilities.

Working as the Administrator / Facilities Administration Assistant your role will include team support, customer service, administrative duties and communication with internal and external stakeholders.

DUTIES

Your duties as Administrator / Facilities Administration Assistant will include:

  • Customer Service: First point of contact (including reception) for the Facilities Management team, dealing with enquires by telephone, e-mail, and correspondence, for visitors/members of the public
  • Post: Manage incoming/outgoing post in the most cost effective way, ensuring systems and equipment are fully operational at all times
  • Building Management: Conduct regular building inspections, resolving or reporting maintenance issues repairs, health and safety and supplies issues and monitoring to ensure completion. Work with the Facilities reporting system
  • Space Management: Book and organise office spaces, including arranging furniture and hospitality. Ensuring office space is utilised and fit for purpose
  • Inventory Management: Manage inventory of supplies and equipment throughout the site, ensuring that stock levels are maintained and orders are placed in a timely manner
  • Assist in Projects: Support various facility-related projects, including renovations, office relocations, and installations
  • Contractor Coordination: Liaise with external vendors and contractors for services such as cleaning, maintenance, and repairs. Escalating issues regarding quality of service and adherence to company to management and site inductions
  • Administrative Tasks: Responsible for resolving customer queries in a timely manner, maintaining records, data and filing systems and supporting the Facilities management team with general administrative tasks
  • Team support: Provide cover for colleagues as required to ensure all team tasks are effectively delivered at all times
  • Assist with processing orders and invoices, receipt of goods, booking in and receipting items

CANDIDATE REQUIREMENTS

  • Experience in a similar customer facing role
  • Educated to GCSE level or equivalent in Maths and English (Grades A - C)
  • Basic MS Office skills and willingness to learn new systems
  • Strong organisational and multi-tasking skills with the ability to prioritise tasks effectively
  • Excellent communication and interpersonal skills with the ability to remain calm under pressure
  • Ability to work independently and as part of a team, showing initiative and problem-solving capabilities
