Working as the Administrator / Service and Maintenance Coordinator you will be responsible for providing support to the Service and Maintenance department and wider office in a manner that allows the company to meet the company objective of being the UK’s leading niche market provider while retaining the spiritual trinity of business intent, customer connection and employee experience.
As the Administrator / Service and Maintenance Coordinator you will plan engineer call out visits - ensuring any necessary parts are ordered, access equipment is on site and anything else necessary for the visit to be successful. You will also communicate with clients to book in visits, issue customer satisfaction questionnaires and carry out general office administration.

DUTIES
Your duties as an Administrator / Service and Maintenance Coordinator will include:
- Manage reactive work - be aware of required response times and act accordingly
- Logging of all incoming client callout calls and emails
- Planning engineer call out visits - ensure any necessary parts are ordered, access equipment is on site and anything else necessary for the visit to be successful
- Communicate with the client to book in visits - provide any information requested (RAMS, engineer details, etc)
- Communicating requirements to service engineers and liaising with them on a daily basis
- Manage stock not allowing engineers to just take spares, but allocating them to the jobs and reordering, as necessary
- Allocating costs to the jobs to allow invoicing
- Ensure engineer reports are sent following every visit and that reports are clear and communicate the right information
- Assist with management of PPM works and planned/quoted works as required
- Chasing all quotes proactively to ensure orders are secured
- Issuing customer satisfaction questionnaires and/or ensuring the Service & Maintenance Manager obtaining feedback in accordance with our procedure
- Contribute to continuous improvement and innovation in your role and department
- General office procurement (stationery, IT equipment, house-keeping supplies) & other ad hoc tasks as required for smooth running of the office
- General administration Support
- Telephone answering and internal forwarding of calls
CANDIDATE REQUIREMENTS
Essential
- Excellent Communicator (oral & written)
- Organisational skills - ability to plan own diary and work ahead to suit needs of business
- Able to prioritise
- Competent user of MS Office, MS Word & Outlook, including MS Excel
- Excellent telephone manner - not afraid to speak with customers, engineers, suppliers, colleagues
- Outstanding customer service
- High attention to detail
- Experience of working in office admin role
- Experience dealing with customers
Desirable
- NVQ Level 2 in Administration or similar
- Competent user of stock control software / maintenance software
- Experience of booking engineers and management of engineer diaries
