Acting as a primary point of contact for applicants, this role will be essential in guiding students through from enquiry to enrolment.

JOB DESCRIPTION

Job Title: Admissions Scheduling and Processing Assistant

Faculty/Directorate: Marketing & Student Recruitment

Grade: D

Responsible to: International Admissions Manager

Job Purpose:
The purpose of the post is to provide administrative support to the Admissions function to ensure a smooth flow through the applicant journey. The post holder will work primarily in High Wycombe, but with some need to work at agreed times at other sites. This role contributes to the successful delivery of the service provided by the Admissions department and the post holder should use their initiative to ensure the Applicant experience is a positive one.

Main Duties & Responsibilities of the role:

  • Schedule and administer the University’s Applicant assessment and interview days
  • Co-ordinate the collection, review and response to applicant portfolios
  • Be the main point of contact for the return of interview and assessment outcomes
  • Liaise with Applicants and Admissions Officers to gather supporting documentation to allow applicants to meet the conditions of their offer.
  • To support the Admissions Officers in handling a variety of transactions. Transactions will include clarification of systems, processes and course information, and the delivery of direct services including, letter production, appointment bookings, and assistance with information about university visit opportunities.
  • To manage and maintain course and intake information in UCAS and in the University’s own Admissions portal.
  • To update and maintain applicant data across the University’s student record system and supplemental systems to ensure accuracy and consistency.
  • To maintain and provide day-to-day management of the University Admissions Office’s CRM system.
  • Coordinate and undertake the clerical and administrative work associated with an admissions and enquiries operation, including use of CRM or interium software to log and respond to all student enquires within defined service level agreements.
  • Participate in the staffing of the Marketing and Student Recruitment enquiries service points, and deal with all queries relating to the University’s course portfolio, entry requirements and applicant processes.
  • Provide information on the above using set guidelines, procedures and systems.
  • Undertake any other responsibilities as required by the Admissions Team Leader or Directorate Senior management team.
