APPRENTICESHIP COORDINATOR

The National Film and Television School (NFTS), Beaconsfield, HP9 1LG

Fulltime: 35 hours per week

Responsible to: Apprenticeships Development Manager/Prime Video Craft Manager

Salary: up to £30,000 FTE

We are currently recruiting for an Apprenticeships Coordinator to join our busy team facilitating the smooth and efficient running of a range of NFTS apprenticeship training programmes. Duties will include supporting the Apprenticeship Development Manager and our Prime Video Craft Academy Manager in helping to plan training projects and track apprentice progression, as well as administrative duties associated with quality assurance, supporting the recruitment and induction of apprentices and organising tutors and equipment for training activities.

Ideally, the successful candidate will have prior experience with apprenticeships, as well as having excellent organisational skills and strong communication skills.

JOB DESCRIPTION

Purpose of the role:

Working proactively and flexibly, to act as Apprenticeship Co-ordinator, facilitating the smooth and efficient running of a range of NFTS apprenticeship training programmes.

Core duties and responsibilities include but are not limited to:

  • Support the Prime Video Craft Academy Manager and the Apprenticeship Development Manager, NFTS staff and tutors in planning training projects that help lead to achievement of apprenticeship standards.
  • Support internal quality assurance activity and undertaking administrative duties in relation to apprenticeship programmes.
  • Track apprentice progression and identify any issues in a timely manner.
  • Ensure that all processes are operating at their most efficient, and identify and develop new ones as required in order to meet regulatory requirements.
  • Maintain accurate records of learner progress through learner reviews via APTEM (learner management system), in accordance with the latest ESFA funding rules and School procedures.
  • Manage, at an operational level, and update apprentice individual learning records (ILR) in APTEM according to the apprentices' learning activity including completions/achievements, transfers, breaks in learning and withdrawals.
  • Have and maintain a good understanding of the administrative and regulatory requirements of ESFA funding rules.
  • Participate in the recruitment of apprentices and contribute to the School and employer induction processes as appropriate.
  • Assist with the planning of Tripartite Review Meetings (meeting with the apprentice and the employer) on a quarterly basis in accordance with due process, and any other additional meetings relating to employer activity and learner progress.
  • Visit apprentices in employment setting and provide effective feedback, support and guidance to promote performance.
  • Producing and distributing schedules of activities for all training and placement events and providing organisational support.
  • Work closely with the Prime Video Craft Academy Manager and the Apprenticeship Development Manager and Finance to maintain budgetary control and manage expenses, ensuring the department keeps within its financial limits.
  • Booking equipment, props, scenery, stock, lockers, design materials, transport as required.
  • Preparing contractual documentation for apprentices and staff delivering teaching on apprenticeship programmes, and booking tutors, set dressers, actors and any other external staff needed for activities.
  • Supporting the recruitment process for apprentices and tutors, working with HR as required.
  • In discussion with managers, creating risk assessments for workshops and placements and attending any health and safety training sessions required.
  • Working closely with colleagues across the School, develop knowledge and awareness of other courses and activities at the School to facilitate the effective flow of information.
  • Maintaining accurate planning documents, records and archive of all training and placement activities.
  • Assessing priorities and managing a heavy workload to ensure all deadlines are met.
  • Undertaking any other duties as may be reasonably required in the position.

Person specification

Essential Criteria

  • Previous experience in apprenticeship administration in a higher education setting
  • Experience of working with student data and experience in using APTEM
  • Experience using Microsoft Outlook, Word, Excel, and complex databases
  • Excellent planning and organising skills, including the ability to order priorities and meet tight deadlines
  • Attention to detail
  • Ability to work within a small team
  • Ability to communicate clearly and confidently orally and in writing with a wide range of internal and external contacts.
  • Strong interpersonal and relationship building skills with apprentices and other stakeholders
  • An ability to contribute to an evolving training program.
  • Ability to be flexible with working hours occasionally where required
