Role summary
As an Enrolment Consultant you will play a pivotal role in the seamless onboarding and assessment of candidates identified by our clients to become apprentices with Instep. Your responsibilities encompass managing the enrolment process, ensuring compliance with ESFA funding rules, and providing a consultative approach to confirm acceptance or suggest suitable alternatives where applicable. An integral aspect of this role is to effectively communicate the importance of compliance documentation, including Apprenticeship Agreements and Training Plans, and to ensure candidates are aware of key dates for the commencement of their learning. Additionally, you will oversee eligibility assessments, including Math and English assessments, to ensure candidates meet the program's requirements.
Role responsibilities:
- Accurately input candidate and line manager data into Instep systems.
- Ensure timely and error-free registration of candidates to maintain data integrity.
- Initiate proactive engagement with candidates and line managers interested in pursuing apprenticeships.
- Provide clear and concise information about the apprenticeship program, emphasising the significance of compliance documentation and eligibility criteria.
- Demonstrate a commitment to delivering exceptional service by consistently going above and beyond. Ensure that all communication channels, including email, phone, and other means, are characterised by well-constructed messages that align seamlessly with the Instep tone of voice.
- Conduct Programme Appraisals evaluating candidates' knowledge, skills, and behaviors relevant to the chosen apprenticeship program.
- Administer Math and English assessments to ensure candidates meet program requirements.
- Review eligibility documents provided by individuals on boarding to ensure compliance with ESFA funding rules.
- Clearly communicate the importance of compliance documentation, including Apprenticeship Agreements and Training Plans.
- Facilitate the return of completed documentation and ensure its accuracy.
- Communicate key dates for the start of the learning process to candidates.
- Demonstrate a keen understanding of eligibility rules, including Math and English assessment requirements, and ESFA funding rules.
- Take a consultative approach to confirm acceptance or non-acceptance to the apprenticeship program, recommending suitable alternatives where applicable.
- Generate reports on different stages of the enrolment process for management review.
- Highlight areas of improvement and suggest enhancements to streamline the onboarding process.
- Ensure a high level of accuracy when entering data into Instep systems.
- Conduct regular audits to validate data accuracy and address discrepancies promptly.
Qualifications, competencies and experience
- Experience of successfully supporting accurate and compliant public funding claims (for example, in apprenticeships, Adult Education Budget, or ESF)
- Preferable: experience supporting ESF compliance and funding claims
- Experience of using a management information system (Aptem experience desirable) and of accurate data entry.
- Experience of being organised, proactively managing your workload, knowing what you can do and what needs escalating to a manager.
- Intermediate Microsoft Office knowledge, especially Excel
- Experience of communicating clearly and professionally with learners and colleagues
- Level 2 English and maths or above (e.g., Functional Skills, GCSEs, A-Levels, degree)
Bonus Structure:
Instep offers an attractive bonus structure on successful completion of probation. This is based on enrolment volume which is uncapped, this has potential earnings of £5k+ per year.
