Assistant Reception Manager / Senior Patient CoordinatorFull-time / Permanent

SHIFTS BELOW (37.5 hours per week):Monday - 2.00pm to 7.00pmTuesday - 8.30am to 5.00pmWednesday - 7.45am to 12.45pmThursday - 8.30am to 5.00pmFriday - 8.30am to 7.00pm Plus 1 in 4 Saturdays mornings (paid time and a half)

Starting salary: £23,400 rising to £25,350£12.00 per hour to start£12.50 per hour after successful probation (6 months)£13.00 per hour after training (approx. 1 yr)

The Company: A large, busy NHS Practice in central Bristol with FREE PARKING

The Job:To support the Reception Manager to ensure the smooth running of Reception and provide cover in their absence. To provide a high standard of service, to assist patients in accessing the appropriate service or healthcare professional within the Practice. To work as a member of the Reception Team to ensure the smooth running of Reception, whilst taking a proactive role in maintaining an efficient and effective service to all patients. To act as a central point of communication and liaison, with other members of the Practice team. To ensure administrative and clerical duties within the Practice are carried out in line with Practice guidelines and policies. The post-holder will work closely, and under the direction of the Management Team to improve standards across a wide range of administrative activity.

Main duties:

  • Provide cover and support to the Reception Manager to help guide and lead the team.
  • Assisting with the management and updating or the Reception team rota
  • Sort maintenance issues contacting relevant contractors as required.
  • Duty Manager role is shared across the Duty Manager Team, each covering an AM or PM session.
  • Promote a positive and motivated workforce culture to ensure a first class empathetic service
  • Effectively triage calls from patients and those visiting the surgery to ensure they access the most appropriate healthcare professional first time (Doctor, Nurse, Pharmacist, Physiotherapist, Community Pharmacy etc).
  • Assisting patients with general enquiries.
  • Opening and closing procedures.
  • Checking-in and directing patients on arrival at the surgery.
  • Administrative duties: processing repeat prescription requests, travel questionnaires, patient tasks, updating patient details.
  • Assisting with the moving and rescheduling of appointments.
  • Taking and recording requests for home visits.
  • Registering new patients and temporary residents.
  • Tidy waiting room after morning and afternoon surgeries.
  • Leave the reception area tidy and ready for incoming colleagues. Liaise with colleagues regarding unsolved problems.
  • Maintain exemplary levels of customer service and empathy.

The Person:Previous experience motivating, managing, training, leading a small team.
