Job description

Key Duties & responsibilities Act as the primary point of contact for patients, visitors, employees, and volunteers, delivering a warm and professional reception and telephone service. Assume responsibility for the day-to-day operations of the reception area. Ensure courteous and professional handling of individuals at Reception, overseeing sign-in/out procedures, and directing them to the appropriate person or location. Answer incoming calls promptly and efficiently, directing them to the correct individual or taking clear messages and ensuring they are actioned appropriately. (Ideally leaving messages on voicemail, hand written messages maybe left in envelopes in the appropriate pigeon holes). Monitor and respond to emails received in the reception email account. Maintain high cleanliness standards in the reception area. Receive and distribute incoming post and deliveries, ensuring timely delivery to the correct department. Ensure all outgoing mail is franked/ stamped and ready for delivery to a local post office/ post box by a volunteer (in the absence of a volunteer, you will be responsible for ensuring post is delivered); Monitor and replenish franking machine consumables, alerting the reception team leader of low stock. Provide support to volunteer receptionists, ensuring they maintain professional standards in delivering reception services. Process payments via the Take Payments device and handle daily and weekly banking duties. Manage stationery stocks to ensure an adequate supply. Replenish confectionary/drinks in the reception area. Ensure personal compliance with MaST (Mandatory and Statutory Training) at all times. Complete general administration duties, including filing, archiving, photocopying, documentation and signage, maintaining a professional standard representative of the hospice. Perform other duties as directed by management, commensurate with the post. Other: Act as an ambassador for the hospice, upholding honesty, integrity, and trustworthiness at all times. Maintain strict confidentiality at all times. Awareness and application of health and safety and fire precautions across the practice. Ensure data protection compliance is maintained at all times. Demonstrate flexibility in working hours to meet service needs, as the reception operates 365 days a year. Provide support to the hospice as required, across the range of duties within this post, adapting to changing priorities and responsibilities. Any significant changes will be communicated and consulted upon with the post holder. Full compliance with required aspects of the induction programme prior to undertaking any duties aligned with the post.
