About the role
We have a fantastic opportunity available for a Board Executive Assistant (EA) to support the Chair of the plc Board. This is a varied and fast paced role which will give you exposure to working with Leadership in a FTSE 250 company.
You will be building relationships with a wide variety of stakeholders as you schedule meetings, put together Board packs, deal with a range of time critical and confidential material, manage diaries and inboxes and support the Company Secretariat in confidential matters. You will also have exposure to and our Non-Executive Directors (NEDs) as you provide them with support (booking travel, accommodation, arranging meetings, processing expenses, co-ordinating roadshows) and consistently improve services and processes.
What you'll be doing
In addition to providing EA support to our Chair and NEDs you will be supporting with plc Board meetings including:
providing dedicated EA support to our Chair -managing her diary and commitments across her portfolio
working several years in advance, taking a proactive approach to all elements of arranging a Board cycle
arranging dinners and refreshments etc for the meetings themselves
scheduling any offsite meetings for the plc Board and its Committees
reviewing and preparing documentation, such as board / committee packs using a Board portal
managing tech solutions used for the Board (and other formal governance) including Board Intelligence.
You will also work closely with our Company Secretariat Team and provide them with support by:
maintaining the central Company Secretariat diary by ensuring all board and committee dates throughout the organisation's governance framework (along with any other NED commitments) are communicated and kept up to date and aligned with the NEDs' schedules - this will require managing and negotiating a wide number of conflicting diary priorities
supporting members of the Company Secretariat in following up action points and drafting agendas for meetings
managing the formal governance calendar, meetings and information packs, supporting the broader Company Secretariat team
leading on developing and maintaining the Governance section of HL's internet
raising purchase orders and dealing with invoices
About you
Experience of working in a commercial organisation and liaising with senior stakeholders within a limited time and often conflicting priorities. Additional experience of working in a legal or company secretariat team will be supportive to your success in this role.
Significant EA experience working with a Board of Directors or an Executive Committee
An aptitude for learning new systems will complement your thorough knowledge of Microsoft Suite/ Outlook/ Board Intelligence or another Board portal
Operate professionally with discretion, able to manage sensitive data appropriately
Able to work in a team or alone and effectively collaborate to achieve common goals plus the ability to self-manage competing workloads & effectively prioritise
Proactive, organised, and self sufficient
Proficient in speaking to and influencing senior management - adapts communication style and messages to suit audience. Able to communicate complex or technical information in a way that is easy to understand.
Takes the action needed to deliver results. Proactively highlights any problems and barriers seeking to resolve them with the support of others.
Interview process
The interview process for this role will consist of a competency-based interview and introductions to key stakeholders.
Working Schedule
This role is based in Bristol head office, BS1 5HL. This role is permanent, full time, 37.5 hours per week, Monday to Friday. We have returned to the office, however for this role we offer a hybrid flexible working pattern to enable you the option of working from home and coming into the office.
