"Strengthening and Supporting Communities and the Voluntary Sector in Surrey" 

Surrey Community Action exists to support Surrey's voluntary sector, the diverse communities of Surrey, and other organisations who seek to work with both. We do this in four main (and lots of other) ways: 

Advocacy and Representation 

We ensure that non-voluntary sector stakeholders understand the value of our sector and how to work together to achieve shared objectives. 

Services to the Voluntary Sector 

We provide services to Surrey's voluntary sector that increase their effectiveness or fill gaps in their capability, capacity, and resilience. 

Services to the Surrey's Communities 

We provide services directly to Surrey's communities that support community action and address unsupported needs. 

Increasing Understanding 

We research issues, collate, and analyse data, and disseminate information necessary for the VCFS to survive and thrive.

We work on behalf of our wider stakeholders, defined as anyone that works with or alongside the voluntary sector and would benefit from a closer relationship or better understanding. Such stakeholders include Surrey County Council, Surrey's District and Borough Councils, Parish Councils, health bodies, Central Government and other statutory bodies, plus private sector organisations and support structures. 

 Much of our work is with other community organisations, including community building management groups, voluntary car scheme organisers, councils, and others, but we also run projects and activities targeted at individuals within communities, such as fuel poverty advice, and support to Surrey's Gypsy and Travellers, hence we have two strategic focus areas; the Services to the Voluntary Sector that we provide, and our Services to Surrey's Communities.

We provide business support services, predominantly to other voluntary sector organisations, including managing payroll, conducting DBS checks, and delivering training and events.

Our individual projects and Services help community buildings, travellers, voluntary car schemes and others.

We also manage the 'Astolat' charity offices, providing high quality office accommodation and support to eight other VCFS organisations.

We also have a specific interest in rural communities that face unique challenges compared to urban areas: Higher housing costs, relative lack of facilities, less access to services and facilities, different structures in governance, different access to funding, and a lack of infrastructure support. We collaborate with rural communities on community planning, community buildings, affordable housing, social and community enterprise and rural future proofing.

About The Role

We are looking for a skilled and organised buildings and Services Manager to help keep Surrey Community Action and the Astolat Charity Hub running smoothly and efficiently. 

The role has three main dimensions: 

  • To ensure the smooth running of the 'Astolat' Charity Hub housing 8 other charities and providing a range of shared facilities and Services (75%). 
  • To provide administrative support for Surrey Community Action including human resources, administration, housekeeping, office management and IT (20%). 
  • Act as Personal Assistant to the Chief Executive (5%).

We are looking for a colleague who will:

Looking after Astolat 

  • Take day-to-day ownership of the administration and running of Astolat – to keep it running smoothly and efficiently and make it even smoother and more efficient over time. 
  • Be the main point of contact for Astolat tenants, dealing with requests in a timely manner. 
  • Ensure the security of the building. 
  • Liaise with tradespeople, contractors and others to ensure repairs, renewals and upgrades are managed quickly, efficiently and cost-effectively – and that the same problem doesn't happen twice. 
  • Ensure that high quality office facilities and Services, including meeting rooms and communal areas, are available to visitors and the tenants of Astolat.


Looking after Surrey Community Action 

  • Deliver (with colleagues) our outsourced Disclosure & Barring checking service. 
  • Provide basic HR administration (holidays, flexitime, induction packs etc). 
  • Support trustee meetings and committees with various administrative tasks including distributing papers and minute taking. 
  • Help arrange staff away days and other staff events. 
  • Ensure availability of office and housekeeping supplies. 
  • Maintain high quality facilities and Services for SCA. 
  • Facilitate the Health and Safety Committee for Astolat and Surrey Community Action.


Assisting the Chief Executive Officer 

  • Manage diary appointments 
  • Minute taking for some meetings
