About the role
We are currently recruiting for Business Admin Support to join QinetiQ Target Systems (QTS) within our Administration Team. QTS is a wholly owned subsidiary of QinetiQ Group PLC, specialising in the design and manufacture of a range of state-of-the-art Unmanned Aerial and Surface Target systems, including the world-leading Banshee target.
QTS targets are used to enable realistic weapons test and evaluation and operator training in over 40 countries worldwide, with QTS providing a complete managed service in over 15 of these countries.
What will I be doing?
Reporting to the HR Manager, you will provide an efficient and friendly reception and administration service for QTS UK.
Duties will include:
Manage the day-to-day operations of the reception area and switchboard, including welcoming visitors and transferring incoming calls quickly and efficiently.
Arranging travel for staff as required, including hotel bookings, car hire, flights, ferries, Eurostar, Chauffeurs, and obtaining any other travel information required.
Booking conference rooms and arranging refreshments.
Distribution of incoming post, ensuring it is stamped with a received date, and f ranking of all outgoing mail.
Booking and recording of employee training, as directed by the HR Manager.
Control and typing documents and forms held in the Document Library.
Buying and maintaining stock for Conference room and Canteen supplies.
Maintaining the Conference and Board rooms to a clean and tidy appearance, ensuring they are well stocked.
Present the reception / admin section of the induction for new starters.
Arranging visas and passports as required.
Arranging eye tests for employees as required and issuing associated vouchers. Keeping records of vouchers issued and eye tests attended.
Ordering of stationery office supplies.
Ordering and distribution of branded clothing, including workwear trousers.
Building and maintaining relationships with suppliers / vendors (hotels etc)
Carry out any other administration tasks, as directed by the HR Manager as required.
What do I need?
You will have proven experience in a receptionist / administration role and have good customer service skills.
You’ll be proficient in the Microsoft Office packages and ideally have experience with document control systems. Knowledge of booking travel would be a distinct advantage.

are qualified to GCSE or equivalent level in maths and English
have excellent verbal and written communication skills, enabling effective interaction with internal staff, visitors, customers and suppliers
have excellent organisational skills with the ability to prioritise tasks to meet deadlines
have excellent attention to detail
are a team player
are self-motivated and able to work without close supervision
have the ability to work in a busy and sometimes pressurised environment
