Job description

Purpose of the Role

To work across the Service Partner+ team, leading and delivering professional and consistent service line management capability for our Property Management clients. The role implements our service line strategies and drives year on year improvements in service and value creation and process improvements in agreed areas.

To provide commercial expertise in service line management to external and internal Property Management clients, acting as a catalyst for new initiatives; developing the Property Management category management strategy; applying a standardised approach adopted with the Property Management business in alignment with the Service Partner+ team strategies. The focus of this role continually analysing the Property Management business needs and producing innovative solutions.

To develop and implement group-wide policies, processes and procedures for strategic and operational service line management; maintaining, utilising and developing the Service Partner+ systems and eProcurement tools (including wider Savills systems and tools, where relevant).

Specifically:

  • Operational alignment through the Category manager role of the Property Management business needs with the Service Partner+ adopted ways of working
  • Soft Services Category Management issues and query resolution
  • Operational performance improvement to drive performance effectiveness across the Property Management business
  • Collaboration with cross functional teams, maintaining strong relationships with both internal and external stakeholders. This is a key category management role requiring a forward thinking individual, with problem solving skills and strong team lead, management and collaboration skills.

Key Responsibilities

Service Line Definition and Strategies: define and align Soft Service lines with the Property Management business needs and develop appropriate category sourcing strategies and strategies to optimise value through key trend analysis, Property Management client portfolios, continuous service improvement plans, and identification of savings optimisation and performance improvement opportunities within the service line. Ensure services are adequately specified to facilitate consistent service delivery and performance levels across the Property Management service line including relevant statutory requirements, legislation, SLAs and KPIs.

Soft Services operational plans: support the development and execution of annual operations plans (including rationalisation plans, mobilisation, cost reduction plans, service improvement plans and Service Partner development / performance management plans).

Supplier Identification and Evaluation: identify, evaluate, and manage suppliers and contractors during the initial stages of engagement, fostering strategic partnerships to ensure the highest levels of service, quality, and competitiveness.

Contract Negotiation: lead negotiations with Property Management service partners to secure advantageous terms, favourable pricing and mutually beneficial contractual arrangements. Demonstrate commercial acumen in the vendor selection, negotiation and drafting of contracts that promote value, lower costs and higher service levels and adhere to company procurement and supply chain policies.

Market Analysis: conduct Property Management -related market research and analysis to stay abreast of new Property Management products, sourcing approaches and services, industry dynamics and the competitor landscape, emerging technologies and best practices in Property Management sourcing, incorporating relevant advancements into Savills' sourcing strategies.

Performance Monitoring: establish initial key performance indicators (KPIs) and metrics based on our KPI library for all framework agreements and contracts. To support the vendor performance review process as appropriate; supporting Service Partner Performance Management colleagues as they monitor relevant SLAs and KPIs and as they introduce initiatives to enhance partnerships with service partners.

Process Improvement: continuously assess and optimise Property Management sourcing processes, including Property Management service partner portfolio management and segmentation; development of Property Management service line strategies; maintenance of catalogues; tendering and service partner selection and contract management procedures; ensuring efficiency, compliance, and transparency. Implement sourcing best practices and leverage digital tools and technologies for process automation.

Risk Management and Compliance: identify, escalate and mitigate material Property Management sourcing-related risks and issues, including sustainability-related risks and those related to dealing with smaller Service Partners, ensuring compliance with legal, regulatory, and ethical requirements, and implementing appropriate risk mitigation strategies.

Cross-functional collaboration: collaborate closely with internal stakeholders, including Service Partner + colleagues, finance, operations, site teams, legal, and sustainability teams, to align Property Management sourcing strategies with overall business objectives and needs; and foster effective communication and collaboration. Provide support to in-house and consultancy service offerings where required.

Leadership: provide leadership, performance management, support and guidance to all direct reports and promote development across the Service Partner+ team of good networks and relationships across Savills, the wider functions and the immediate team. Provides cover and direction to other category management teams (where appropriate).

Systems and data integrity: support the maintenance and integrity of related technology systems and data, including reporting, contract build, contract agreements and monitoring of Service Partners and contract usage including contract review, system entry, budget review, renewal notifications and liaison with legal where required.

Skills, Knowledge and Experience

Essential

  • Experience: 3-5 years of experience in procurement, strategic sourcing, or supply chain management, with demonstrated progression in roles of increasing responsibility. Proven ability to work across multiple categories.
