Hours Per Week 35.00

PAYE Rate : £18.33 ph (Basic Rate £16.36 + 12.07% holiday pay) + exclusive retention bonus of upto £500.00 per year if employed via Omega Recruitment Agency

The main responsibility of this role is to serve as the initial point of contact for all visitors and staff at the centre, providing them with information and directing them to the appropriate staff member. This task is to be performed for 35 hours per week, between the agreed-upon hours of 8 am and 6 pm. Additionally, the individual in this role will be responsible for monitoring access to the centre, ensuring that all visitors sign in and out, and managing the centre's reception area, including managing paperwork for partners, taking messages, and adhering to proper protocols. They will also be responsible for performing various clerical tasks such as filing, photocopying, handling mail, using office equipment, typing reports and letters, inputting and retrieving data, and handling confidential information in accordance with the centre's policies. The individual will also be responsible for coordinating room bookings, making arrangements for services and professionals using the centre, monitoring and managing their own workload, answering the telephone, booking appointments for centre managers, maintaining appointment calendars, and administering petty cash. Finally, they will be responsible for collecting monitoring information about service use as instructed.


Requirements

Enhanced DBS required

Work Experience Experience of providing administrative support to a large multi-disciplinary team. Experience of being part of a team providing a customer focussed service. Experience of using a computer for word processing and creating / maintaining databases to produce reports. Experience of document management and developing and administering support procedures. Experience of operating filing systems. Experience of specialist software systems including Archibus CAFM / CMIS and Permit to Work systems. Experience of the processes and terms used in the Supply chain and project management. Experience of Financial / Project admin. Experience of drafting letters / memos and minuting meetings. Education / Qualifications A range of GCSE’s including English Language and Maths (minimum grade C) or appropriate equivalent, or significant experiential learning. Degree qualification. Microsoft qualification or similar in use of spreadsheets / word processing. Skills / Abilities Excellent organisational skills, accuracy and attention to detail. Experience of using a variety of IT packages including Microsoft Outlook, Word and Excel. Excellent oral and written communication skills. Flexible in approach to work and ability to see tasks through to completion. Ability to deal with conflicting and challenging situations. Ability to work independently and as part of a team.
