Civic Officer

POST: Civic Officer

RESPONSIBLE TO: Civic Manager

SALARY SCALE: 13-23 (£26,873 - £32,073)

HOURS: Full Time (37 Hours per week)

Objectives:

The post-holder will be accountable to the Civic Manager and will provide administrative support to the Town Council’s Civic Office to ensure the smooth running of the activities of the Civic Office and providing Mayoral support.

The post-holder will be expected to support and assist the Council in meeting its objectives, and to undertake responsibilities to contribute to the efficient running of the Council’s Civic services.

MAIN DUTIES & RESPONSIBILITIES

Mayor’s Office:

  • To ensure the efficient and smooth running of the Mayor’s Office.
  • Maintain the mayoral diary, liaising with the Mayor, Deputy Mayor and Mayor’s Attendant in advance of forthcoming engagements and functions.
  • Provide administrative support to the office of the Mayor & Deputy Mayor.
  • Opening and actioning all mayoral & civic correspondence.
  • To assist the Civic Manager with the organisation of fundraising events.

Civic Event Support:

  • To support the Civic Manager in the organisation, delivery and administration of civic events and functions as required.
  • To work in partnership with other organisations and services together to bring together public facing civic events.

Civic Property

To support the Civic Manager in:

  • The care and maintenance of the civic regalia, working with the Keeper of the Robes when required.
  • Access to the civic regalia and ensure the maintenance of high levels of security at all times.
  • The upkeep of mayoral photographs, honours boards and civic displays in the Town Hall.

Civic Pride, Arts & Culture Committee:

  • To support the Civic Manager in the delivery of actions which have come out the Civic Pride, Arts and Culture Committee.
  • When required, support the activities of the working groups which are set up by and report to the Civic Pride Committee.

General:

  • To support council communication with the public.
  • To give support and guidance to Members and Officers of the Council on matters relating the civic role of the Council.
  • To liaise with members of the public and local organisations in relation to the civic role of the Council.
  • To act as an ambassador to the Council at public and external functions and events.
  • On occasions, to work evening and weekend meetings when required.
  • Any other duties as required by the council.

PERSON SPECIFICATION

We are looking for someone who is able to work to tight deadlines, able to effectively organise their work load and to assist in the effective organisation of tasks and events. This individual needs to have a strong work ethic, with a good attention to detail. The ideal candidate is able to work with a proactive approach to work and be capable of working in a team to meet the needs of the council.

Essential:

  • Educated to GCSE level, including English and Maths.
  • Experience in an administrative role.
  • Computer Literacy: Proficiency in Microsoft Office.
  • Very good interpersonal skills and communication skills; in person, verbally and written.
  • Being able to take on additional tasks or responsibilities beyond the core duties as required by the organisation.
  • Attention to Detail: Attention to detail is crucial for ensuring accuracy in record keeping and compliance with regulations.

Desirable:

  • Event coordination experience.
  • Knowledge of event marketing.
  • Experience of diary management.
  • Hold a full clean driving licence.
