The Role:

Responsible to the Operations Delivery Manager for ensuring an efficient and comprehensive administration and support is provided for all Service Delivery/Operations/Stations Management teams.

Key Responsibilities:

  • Provide efficient administrative support to the customer operations and service delivery management teams
  • Co-ordinate and maintain various records
  • Administer the Discipline/Grievance/Code of Practice and associated documentation.
  • Procure and maintain the ordering of tickets, stationery, equipment, supplies and contracts
  • Arrange travel and hotel bookings
  • Manage all local Purchase Orders
  • Assist with logging and reporting of remote book on information
  • Order and distribute posters
  • Arrange long service / retiral events.
  • Maintain clothing documentation, liaise with uniform suppliers or third parties and arrange personal issues.
  • Ensuring Traincrew diagrams are provided daily.
  • Arrange and take notes/minutes at meetings as required.
  • Maintain personal files, including up to date medical information, safety, and competence documentation in accordance with group standards.
  • Compile weekly on-call sheet
  • Provide all performance and delay info to the performance team as required
  • All other administrative duties
  • Any other reasonable duties assigned, commensurate with the grade and level of responsibility of this post

Skills & Qualifications:

Essential

  • Experience in working in a Support / Administration Office
  • Experience and competence in all Microsoft Office Packages including but not limited to Word, Excel, Powerpoint, Outlook, Microsoft Teams
  • Effective organiser. Good communication skills, both written and oral.
  • Good interpersonal skills.
  • Note taking experience

Desirable

  • Experience of systems including EBis & ITrent

Hours of work: 35-hour week Monday – Friday. Reference Salary is £28,309 per annum

Selection process: Assessment and Interview may form the initial stages of the selection process. The final stage for successful candidates will be a medical questionnaire. Appointees must submit at least two satisfactory references, Disclosure Scotland clearance and complete a six-month probation period.

Training: Training initially involves on-line Induction.
