Our client has an exciting opportunity to join them in the permanent vacancy of Construction Secretary.
Main Activities:
- Comprehensive secretarial and general administrative support to the Construction Director and Customer Care Manager.
- Maintain and update diary of Construction Director
- Production and distribution of letters, memos, faxes, reports utilising Microsoft Word, E-mail and Excel (sometimes involving dictation over the telephone, (no shorthand necessary), audio dictation, copy typing.
- Updating weekly build progress reports (Excel)
- Maintain up-to-date filing system/plot file system for the Department/setting up plot files for when new development comes on line.
- Liaise with HO in arranging relevant courses for site staff
- Maintain all files in relation to CML to include commissioning certificates and handover packs for affordable housing providers
- Liaise with Office Manager to ensure holidays between yourself then her do not clash as to necessitate adequate cover within the office. Similarly, to liaise over lunch time cover also
- Generally, work as part of a team to ensure the professional image of the company is maintained at all times.
- Attend site as required to organise and maintain site office filing.
- Provide support to Customer Care Manager when required.
You will also:
- Process daily post, correspondence and memos etc. to be sent to site for their records.
- Answer incoming calls and direct as appropriate.
- Update outstanding defects list.
Knowledge & Specific Job Skills:
- Knowledge of both Microsoft Word and Excel.
- Accuracy and attention detail is essential.
- Professional & polite telephone manner, good interpersonal skills and self-motivated.
- Good communication.
- Some knowledge of the construction industry/technical terms would be an advantage.
Full Time: Monday to Friday
