Activities and Responsibilities of the Post
Principle Purpose of the role
We are seeking an organised and motivated individual to join our team as CPC Administrator at Thetford Police Station to provide administrative and secretarial support.
Duties will include organising meetings, coordinating diaries and liaising with other departments and external agencies. You will conduct research and produce management information, maintain accurate systems and prepare general correspondence.
The successful applicant will be a central point of contact for the station for matters concerning estates, facilities, health and safety and goods ordering. These duties must be carried out to a high level of accuracy and attention to detail.
Main Activities of the Role
- Organise and attend meetings to take minutes, coordinate diaries and appointments
- Prepare general correspondence, presentations, reports and confidential files
- Act as point of contact to deal effectively with internal and external visitors, callers and written correspondence
- Obtain, collate and present information from internal and external sources as required
- Maintain accurate and up to date record systems in accordance with organisational policy and legislative requirements
- In conjunction with Estates and Facilities, provide localised support for accommodation issues
- Assist with the implementation and enforcement of fire precautions and health and safety procedures, in liaison with the ‘Responsible Person’ for the site
- Maintenance of stores, placing and receipt or orders including invoicing along with general management of local cash float
- Maintain inventories and issue keys and equipment to new staff
- Required to store and dispose of evidence on site for ‘Property Subject to Enquiry’
- Process seized monies in line with the Seizure, Retention and Disposal of Monies Policy
- Process licensing applications having assessed risk and undertake intelligence and PNC checks
- Provide support where required in relation to duties management
- Maintain appropriate stock levels of PAVA irritant spray (prohibited weapon by virtue of Section 5 of Firearms Act 1968), issuing and withdrawing when necessary. Assisting with audits and processing returns to Stores. Updating and ensuring accuracy of records on TranSearch
- Any other duties that are commensurate with the role and grade as may be requested by management.
Person Specification
- It is essential that applicants meet the following criteria:
- Good numeracy and literacy skills
- Good keyboard skills with a working knowledge of Microsoft Office
- Previous experience in a general administration or secretarial role
- Demonstrate excellent communication and interpersonal skills with the ability to liaise effectively at all levels within the Constabulary
- Demonstrate good organisational skills to manage own workload and meet deadlines
- Ability to find appropriate solutions to problems using own initiative and as part of a team
- Ability to travel as required and attend remote locations across Norfolk
- Proven ability to accurately compose documents and presentation material
It is desirable that applicants meet the following criteria:
- Previous experience of maintaining financial records of income and expenditure and cash handling
- Basic knowledge of Health and Safety legislation
Hours of work are 18.5 per week to be worked between Monday to Friday as agreed with the line manager.
