Purpose of role
 
The Creative Engagement coordinator will coordinate and support the delivery of Creative Engagement programmes for a range of audiences including schools, families, adults and young people. The role will support the Head of Creative Engagement and the Creative Engagement Producer with administration, coordination and evaluation of their impactful activities to engage the most underrepresented audiences with our client’s offer. 
 
Key Responsibilities 
 
Administration:
  • Manage inboxes for the department
  • Keep the contracts register for freelancers up-to-date
  • Maintaining appropriate contact lists and databases
  • Managing the diary for the department using YesPlan system
  • Support the promotion of Creative Engagement activities
 
Finance:
  • Maintain accurate records of spend
  • Working to budgets
 
Marketing:
  • Collaborate with the Marketing Team to promote Creative Engagement programmes 
  • Create and disseminate mailouts to community and education providers
  • Maintain an image database for the department
 
Programme Coordination:
  • Support programmes through coordination of schedules, resources and spaces
  • Support the Producer to run-Arts Award programmes as an Arts Award Advisor
  • Assist with the running of workshops and events
  • Collaborate with Operations and Hires teams to ensure smooth running of programmes
 
Evaluation: 
  • Support with gathering and recording feedback for Creative Engagement programmes
  • Administering and analysing the Creative Engagement team's evaluation and creating evaluation reports
  • Input and monitor department data and provide data and statistics for reports

WHO ARE THEY LOOKING FOR?
 
  • Experience of arts administration
  • IT literate with experience of using MS Outlook, MS Office
  • Experience of coordinating and delivering engagement activities and events for schools, families and/or adults
  • Understanding of inclusive arts programmes and the benefit they have for participants
  • High level of attention to detail
  • Excellent verbal and written communication skills
  • Experience of using or ability to learn to use YesPlan scheduling software
  • Experience of marketing 
  • Experience of evaluating engagement programmes 
  • Experience of budget management 
  • Ability to prioritise and problem solve 
  • Arts Award advisor accredited or willing to undertake training
