Job description

We are currently seeking an Service and Maintenance Co-ordinator  to join our team. This role is pivotal in maintaining and nurturing the strong relationships we have built with our suppliers. Additionally, the Office Administrator will provide crucial support to our Allied Refrigeration business, particularly in credit control.

Summary

  • Position: Service and Maintenance Co-ordinator (temp to perm)
  • Working Hours: Monday to Thursday, 8:30 am to 5:00 pm; Friday, 8:30 am to 4:30 pm (with a one-hour lunch break daily, totaling 37 hours per week)
  • Additional Hours: Flexibility required during busy periods.
  • Holiday Entitlement: 23 days per year (pro-rata), plus statutory bank holidays, based on completed months worked. Confirmation of holiday allowance upon starting date.

Responsibilities: The Office Administrator’s responsibilities include, but are not limited to:

  1. Logging Service Calls: Efficiently record and manage service requests.
  2. Call Distribution to Engineers: Coordinate service assignments to our skilled engineers.
  3. Maintenance Planning: Assist in planning and scheduling maintenance tasks.
  4. Service Planning: Collaborate with the team to ensure timely service delivery.
  5. Maintenance and Service Follow-ups: Communicate with clients post-service to ensure satisfaction.
  6. Maintenance and Service Quotations: Prepare accurate quotes for maintenance work.
  7. Service & Maintenance Costing Support: Assist the Senior Office Administrator with cost analysis.
  8. CLIK Engagement (Database): Maintain and update our internal database.
  9. Stock Control Assistance: Help manage inventory efficiently.
  10. Goods Receiving: Handle incoming shipments and maintain accurate records.
  11. Financial Reporting: Generate necessary reports as required (in consultation with the Office Manager).
  12. Filing: Organize and maintain essential documents.
  13. Raising Purchase Orders: Facilitate procurement processes.
  14. General Office Duties: Contribute to the smooth functioning of day-to-day operations.
  15. Training Matrix Management: Keep training records up to date.
