At Barnett Waddingham, we are currently recruiting a new opportunity for a Dedicated Secretary to join our Secretarial business area. This will be a Hybrid role and based in one of our Cheltenham, Birmingham, Liverpool, Amersham or Leeds offices.
The role of our Secretarial Services hub area is to provide central and dedicated secretarial administration to all business areas, employees, and Partners at Barnett Waddingham. This Dedicated Secretary position forms part of a small, dedicated support team and is responsible for delivering a bespoke secretarial service.
The successful Dedicated Secretary will be a self-starter who is proactive and confident, with excellent relationship building abilities.
Responsibilities
Calendar and Inbox Management.
Scheduling and coordination of meetings, managing associated logistics and requirements, including booking events, training, conferences, and seminars as required.
Organising and booking business travel and accommodation.
Administering new client set up, ensuring all compliance requirements are adhered to.
Document production and proof checking, including reports, letters, pitches.
Updating contact data and record keeping.
Creating purchase requisitions and maintaining receipting of services.
Attendance and minuting of meetings as applicable.
Maintaining e-filing and record keeping in accordance with dedicated service requirements.
Electronic expense submissions and credit card reconciliations.
Provide insight and updates of dedicated service achievements and opportunities, to assist Dedicated Service Team Manager with development of team and workstream provision.
Qualifications/Experience
Experience of dedicated Secretary roles and ability to demonstrate a clear understanding of processes and support required to deliver professional secretarial service.
Experience and confidence in arranging and managing calendars/schedules on behalf of others.
Excellent standard of Document creation, formatting, and proof checking.
Discretion and confidentiality are essential attributes required in service delivery.
Advanced Microsoft Office skills, and technically adept at manipulating data within the various software packages.
Confidence in learning new technical systems and processes.
Have 5 GCSE’s, National 4/5s (Scotland) or equivalent at Grade 4 (C) or above, including Maths and English.
Educated at Degree level or equivalent, desirable.
A background in Professional Services is preferred, but not essential.
Strong professional communication and interpersonal skills.
