The role To facilitate the successful delivery of the Heilbronn Institute for Mathematical Research managing, co-ordinating and advising on all operational aspects such as planning, reporting, finance or budget, staff recruitment. The role holder is responsible for managing and overseeing all aspects of operational administration whilst contributing to the development of the Institute, including assisting with the setting up the Heilbronn Institutes ethos, framework, committee structure and operating procedures. The post holder takes sole responsibility for the efficient operational day-to-day administration of the Institute. The post holder works independently, making key decisions when necessary, escalating to the Senior manager if required. The role holder will act as first point of contact for all queries from current and potential post-doctoral fellows, academic and faculty staff as well as external collaborators and funding bodies. Given the interdepartmental nature of the Institute, effective and sensitive communication is a key part of the role. What will you be doing? Provide project management support, ensuring adherence to University policy and good practice, working in collaboration with relevant internal partners such as Finance, HR. Monitor and control budgets overseeing procurement of equipment or services, and project staff recruitment. Plan and develop an effective communication strategy including dissemination of reports, project publicity, and outreach ensuring all local, funder and project partner reporting is complete. Proactive liaison with relevant internal partners on intellectual property, commercial negotiation and contract management. Communicate with senior academic and professional colleagues to understand, explain, and find solutions to issues raised. Responsible for day to day project management, scheduling and delivery of the work programmes. Co-ordinate, facilitate and participate in project meetings for various boards, panels, project reviews, research workshops and project participants. Manage high-profile events and workshops, overseeing logistics, finance, communications and PR. You should apply if Proven track record of extensive relevant experience in project management, ideally gained through managing research projects. Efficient organisation and project/programme management skills; the ability to plan and prioritise a high and constantly changing workload Ability to draft project reports and papers and to develop, implement, monitor and review project or business plans. Proven analytical and problem-solving capability. Excellent IT, numeracy and budget management skills and proven experience. Self-motivated, pro-active, innovative, and able to use initiative where appropriate. Proven management experience with a commitment to staff development.
