Job description

*Temporary role*Key responsibilities

The post-holder will undertake a range of activities commensurate with the grading and responsibility of the post, which will include some or all of the following:

· Provide administrative support across prospect and donor pipelines for selected senior fundraising staff, including the co-ordination of internal and external meetings, and supporting briefing documents for key stakeholders across the University.

· Provide secretarial and administrative support to selected senior members of staff, including diary management and meeting.

· Make logistical arrangements for alumni, donor and prospective donor visits to the University (e.g. booking rooms and travel, arranging catering and parking etc).

· Manage donor-related enquiries (including shared e-mail accounts), ensuring that the enquiry is replied to or passed on to the appropriate person quickly and efficiently.

· Proof-read and format fundraising proposals, stewardship reports and other written material as required, using specialist software (such as Adobe InDesign) as required.

· Assist in researching and collating project information to support proposals, funding applications and stewardship reports.

· Provide financial reports and updates for specific gifts and fund raising projects, as required.

· Manage Raisers Edge/ database updates as requested by selected senior members of staff, upholding high standards of data quality and adhering to associated data policies and regulations.

· Process expenses for senior members of DDAR staff.

· Provide financial administrative support: including raising purchase orders, ordering and procurement of equipment, setting up new suppliers, Purchasing Card transactions, administration for Frequent Traveller cards

· Provide support for events organised by teams across the Division, from planning and attendance, to post-event follow-up.

· Utilise internal financial and booking systems for travel arrangements

· Work with divisional administrative posts to cover the Divisional reception and main alumni email account, as well as allowing for flexible working during times of peak activity, holidays or sickness

· Such other duties as may be required by members of the Division's Senior Management Team.

Essential knowledge, skills and experience

· A good educational background to at least GCSE level with proven ability in Mathematics and English.

· Self-motivated and highly organised, with an ability to prioritise tasks as appropriate.

· Proven administrative experience in a busy office environment, including experience of using databases.

· A high level of computer literacy with experience of using a range of applications including Microsoft Office, Outlook, Excel and PowerPoint, along with a willingness to undergo training for any other applications as necessary.

· A keen eye for detail and accuracy, along with excellent proofreading skills.

· A good level of numeracy, analytical and problem-solving skills with the ability to identify and resolve issues effectively.

· Experience of servicing committees (or similar) including minute taking.

· A high order of interpersonal skills and an ability to interact with ease with colleagues, students, volunteers, donors, academics, management and external agencies.

· Excellent verbal and written communication skills, with the ability to build good working relationships quickly.

· An ability to demonstrate tact, discretion and sensitivity in assessing and filtering communications, including confidential and often sensitive information.

· A positive attitude to problem solving and a helpful and friendly customer-focused approach.

· Experience of working in a team environment, has a commitment to achieving shared goals, and can support colleagues in the delivery of objectives, often to tight timescales.

· Knowledge and understanding of fundraising, philanthropy, and charitable giving, along with a personal commitment to, and belief in education, research and scholarly enquiry.

· Knowledge of current trends in university Development and Alumni Relations

· Knowledge of current issues in Higher Education in general.

· A willingness to work outside normal hours as and when required (for which time-off in lieu will be given).

Desirable knowledge, skills and experience

· Experience of using the Raiser's Edge database.

· Experience of legacy fundraising administration.

· Experience of working in higher education or the charity sector, preferably within a fundraising, marketing, or customer service environment.

· Experience of using Campus Solutions and Oracle Financials.
