We are looking for an Events Assistant to provide administration and practical support to the Development Events team, with a focus on the invitation process, press nights, database administration and providing the team with support where needed.

The Development Services and Events deliver a programme of events which support the strategic objectives and priorities of the RSC including prospect cultivation, donor stewardship, corporate membership and sponsorship activity as well as large, high-profile fundraising events such as galas and royal events. Across the wider organisation they will include openings, stakeholder engagement events, staff events and the AGM. The team works primarily in Stratford-upon-Avon and London, with event activity across the UK and internationally.

Reporting to the Development Events Manager, your duties and responsibilities will include (see the job description and person specification for the comprehensive list):

  • Supporting the team with administration of events including invitations, mailings and communications with guests.
  • Maintaining supporter records on our database, Tessitura, to record all supporter-related activities.
  • Securing and overseeing the departments ticket allocations for events and donor use, setting up finance codes and processing invoices.
  • Supporting the team in setting up events online.
  • Generating reports to track attendance and engagement in events.
  • Providing support for the department on events days, including setting up, greeting guests and clearing up.
  • Representing the RSC Development team at events and being an effective ambassador at all times.
  • Promoting GDPR, the Fundraising Code of Practice compliance and striving for fundraising best practice.

To be suitable for this role, you must have:

  • Excellent verbal and written skills.
  • Confidence when communicating with stakeholders, internally and externally, and at all levels of seniority.
  • Strong numeracy and Microsoft Office skills.
  • A good sense of confidentiality.
  • The ability to meet strict deadlines.
  • A positive, can-do attitude and a commitment to working proactively with colleagues.

It is not essential for you to have worked in an Arts, events, or fundraising environment, what is important is that you have brilliant administrative experience to help with supporting and delivering amazing and memorable events.

This is a full time, permanent position, which is based in Stratford-upon-Avon, there is the opportunity to occasionally work remotely. The Development department operate between Monday to Friday working within 8am and 6pm, as this role involves supporting events there will be times when you will work outside of normal working hours and on weekends. Time off in lieu will be allocated according to our TOIL policy.
