Job description

The Intellectual Property Office (IPO) is the official UK government body responsible for intellectual property (IP) rights including patents, designs, trade marks and copyright.

The Policy Group Coordination team sits centrally within the Policy Group. A high profile ministerial area within the organisation, consisting of two directorates: Business International Policy and Rights Policy and Enforcement.

The Policy Group is responsible for leading strategic policy thinking, co-ordination, and planning across the full suite of IP policy activity.

This is an exciting opportunity to join the Policy Group Coordination team, a small and friendly team, whose responsibility is to provide administrative support to the policy officials, helping to align their activities with the office's strategic ambitions and to deliver maximum impact for the UK economy and society.

Whilst in this role, you will be gain an oversight of the activities within the Policy Group and will begin to see how they impact how the wider organisation operates.

This is a highly visible and interesting post with a variety of duties, which includes contact with a range of colleagues at all levels from across the organisation. It will provide the post holder with the opportunity to work on continuous improvement projects across the Policy Group. It will also provide you with opportunities to learn, develop and progress.

Working location

This role will be carried out in-line with IPO Hybrid working arrangements where staff are currently expected to spend at least 20% of their time working onsite from one of our offices. This role is based in our Newport Office

Please note that the frequency of workplace attendance for IPO staff is currently under review and may be subject to change.

Typical duties will include, but are not limited to:

  • Co-ordinate and assist in managing the Policy Group Coordination Services mailbox,
  • Co-ordination of returns to Freedom of Information requests, diary requests and briefings to ensure we meet our ministerial target.
  • Maintenance of the Policy Group staff lists, directorate organograms, ordering of stationery, purchasing items on Government Procurement C ard when required and the arrangement of Purchase Orders when needed. Creating and issuing the Policy Group Newsletters.
  • Arranging and acting as secretariat for meetings, volunteering days and other events.
  • Provision of administrative support to staff in Policy Group
  • Ad-hoc covering of the Personal assistant (PA) role to the director
  • Administrative duties to the Directorate Support officers within the Policy Group Coordination Services team

Additional Information

Please note that while this role can accommodate a variety of working patterns, the post-holder would be required to work a minimum of 3 days a week and 24 hours.
