Our client a fast moving, rapidly growing consultancy that truly values culture and their team is seeking an excellent Executive Assistant. This is a 12-month maternity cover and is such an exciting opportunity for an EA who is seeking a role where you will be much relied on, have reach across the business and a role that is not limited to a job spec.

Based in gorgeous offices in the City, you will be supporting 2 Partners and their team of 6 – the team are high achievers and generate business for the company. We are looking for an EA who is excellent and sophisticated communicator at all levels (written and verbal), with sound judgement, essential to the role is an EA who enjoys liaising with clients and can make things happen!

The role will be dynamic and at times demanding, but it will allow the opportunity to learn new skills in a supportive environment. This is a great opening for you to become an integral part of a firm that is renowned for its culture.

 

Responsibilities…

  • Extensive daily diary management using Microsoft Outlook – scheduling meetings, looking at the weeks ahead to carefully plan efficient travel time and locations of client meetings.
  • Inbox management and correspondence.
  • Organise client events, including venue research, send out monthly newsletters and maintain client contacts on Salesforce.
  • Arrange domestic travel, international travel, and visas.
  • Enter and submit monthly expense claims.

Office duties

  • Work closely with the Office Administrator to ensure the smooth running of the office.
  • Welcome visitors, direct them to meeting rooms, and provide beverages.
  • Ensure the office is always presentable and tidy.
  • Assist and liaise with our external IT support on any IT related issues for the London team.

Administrative and team duties

  • Contribute and help implement firmwide administrative projects with the global admin team.
  • Support new members of staff.
  • Ensuring office morale is kept high by organising quarterly team socials, sending gifts to mark special or similar occasions etc.

 

What our client is seeking…

  • Minimum of five years relevant experience, preferably in professional services (executive search and consultancy preferred).
  • Excellent organisational skills, attention to detail and ability to multi-task.
  • Strong interpersonal and communication skills.
  • Must be able to handle and protect confidential information.
  • Ability to demonstrate initiative, work under pressure and manage multiple deadlines.
  • Advanced in Microsoft Office (Excel, Word, Outlook, PowerPoint) and the ability to learn new systems quickly.
