eDisclosure Project Co-ordinator

The Role
We are looking to recruit an eDisclosure Project Co-ordinator to help ensure that we deliver an efficient, consistent and high-quality approach to eDisclosure (litigation and arbitration), Data Subject Access Requests (DSARs), and investigations. 

Working with our fee earners, you will provide guidance on the planning and delivery of the firm's eDisclosure matters, whether in London or in one of our global offices.  You will also be responsible for training our fee earners in the use of Relativity, Brainspace, or any other platform we use from time to time, and support the successful progress of our projects by liaising with our chosen vendors. 

This role will form part of our litigation support unit (HFW DISCOTECH), reporting directly to the Disputes Knowledge Counsel (Disputes KC), who heads the unit.  You will work directly with fee earners in relation to individual eDisclosure projects.

Key Responsibilities
1.    Projects: 

  • Pro-actively work with our fee earners to identify and understand their/ the end clients' needs. 
  • Recommend and deliver technical solutions, eg on processing strategy and throughout the life of the matter
  • Assist in the eDisclosure project set-up including liaising with our preferred vendors, fee earners and their clients
  • Assist and enable fee earners to work with document review software
  • Develop an understanding of each project and the legal and evidential issues involved 
  • Assist in compiling DSARs data
  • Working with fee earners to create eBundles using external platforms eg Opus/ TMX. 

2.    Training:

  • Train fee earners in the use of Relativity and early case management platforms 
  • Give on-going support to fee earners during eDisclosure projects to ensure that users understand the software and eDisclosure processes
  • Respond to technical queries and create guidance notes and precedents/templates 

3.    Vendor management: 

  • Conduct post-matter reviews with the fee earners and the edisclosure vendor to improve processes and, alongside the Disputes KC, develop best practice 
  • Monitor and report to the Disputes KC on eDisclosure vendor performance 
  • Continue our good working relationship with the firm's panel eDisclosure vendors
  • To the extent that problems arise, in consultation with the Disputes KC and fee earners  managing the matter, resolve issues with the vendors

4.    Other

  • Reporting into and working with the Disputes KC  in promoting the firm’s litigation support capabilities
  • Maintain knowledge of developments in the market with respect to changes to the law, and technologies

5.    Budgetary / financial responsibility:

  • Support fee earners with eDisclosure, DSAR, and investigations costs budgeting 
  • Record and monitor supplier charges and escalate issues to the Disputes KC
  • Record and monitor the profitability of the projects and billing to clients
  • Assist with the identification and preparation of any tech budget needs going forward

Key Skills & Experience Required

  • Experience of working at a law firm (essential), and preferably also an eDisclosure vendor
  • Previous experience of eDisclosure of at least project management level is essential
  • An understanding of the legal framework of eDisclosure, existing rules, protocols, practices, and relevant legal and industry standards is essential 
  • Excellent knowledge and experience of Relativity, NUIX, SQL, SharePoint, MS Office (including Excel, and Project), EDRM methodology and Magnum are essential  
  • Credible, with strong teamwork and leadership skills
  • Able to work under own initiative when required 
  • Strong problem-solving skills, with a proactive approach to dealing with multiple projects to strict deadlines
  •  A good sense of humour and ability to work to tight deadlines and under pressure 
  • Excellent time management skills; the successful candidate must be able to demonstrate ability to manage multiple, simultaneous tasks successfully
  • Excellent attention to detail 
  • Proven analytical and problem-solving skills
  • Excellent oral and written communication skills, proven ability to clearly and confidently communicate technical concepts to our lawyers
  • Resilient with the ability to handle set-backs and pressure in order to overcome challenges

Education

  • A degree in computing / a related subject desirable
  • Relativity Certified Administrator (RCA) desirable
