Our Emerging Talent team, responsible for the recruitment and development of apprentices, graduates and interns, are looking for a part time Administrator to support with successful provision of Emerging Talent programmes across the company.
You will work part-time hours, ideally Monday to Friday, however, we can be flexible depending on your preferences.
You will work from our amazing new office based just outside of Watford in Hertfordshire, with the option to utilise our Flex-It scheme and work remotely some of the time.
You will be part of a wider Human Resources function and work closely with Learning & Development Managers, Recruiters, HR Service Delivery team and HR Business Partners.
What you'll do:
  • Re gister learners on apprenticeship courses with multiple universities and colleges.
  • Ensure relevant documents (apprenticeship training plans and apprenticeship agreements) are completed and uploaded on to relevant online portals.
  • Update the HR database with accurate data on Emerging Talent programme start and completion dates.
  • Monitor and create reports on apprenticeship and graduate programme progress and performance and proactively escalate any issues or non-compliance.
  • Update all information on the Digital Apprenticeship Service portal and liaise with the Skanska Finance team to release apprenticeship levy payments to relevant training providers (universities and colleges).
  • Ensure data is correct, up to date and easily available. Ensure all documents are completed and signed correctly.
  • Support the wider team with recruitment tasks as and when needed. This includes screening CVs, assessing video interviews, co-ordination of apprenticeship and graduate assessment centres, and carrying out 'right to work in the UK' checks.
  • Support the team with organising Work Experience, Internship and T-level placements.
  • Support the team with Emerging Talent development and networking events. This includes ordering refreshments, researching/booking venues, and tracking attendance.
  • Generate purchase orders, for example, purchasing recruitment marketing merchandise.
  • Track candidate travel and accommodation expenses associated with attending face to face interviews and assessment centres.
  • Respond to email and phone line queries.
  • Assist with completing business-driven projects as required.
We are looking for:
  • Ability and confidence to work with Microsoft Office 365 packages and willingness to learn various software systems (Avature, Aptem, Oracle).
  • Good communication skills to ensure early careers applicants, employees and external suppliers have a positive experience when interacting with Skanska and the Emerging Talent team. You will be supporting young people at the beginning of their professional careers and you should be able to communicate with them effectively.
  • High level of attention to detail to ensure all work is produced with a high degree of accuracy.
  • Good planning & time management skills enabling the prioritisation of multiple activities.
  • Ability to work with existing processes and deliver to tight deadlines , particularly at the start of each academic year when we enrol approximately 50 learners on apprenticeship courses.
  • As you will be working with apprentices and work experience students who may be under 18 years old, you will be required to undergo a DBS check at basic level should you be successful in securing the role.
  • Previous experience in a HR, recruitment, customer service, training provision or early careers role is an advantage, however, not essential if you are able to demonstrate relevant transferrable skills and motivation to learn and succeed in this role.
  • Ability to use own initiative to challenge and improve existing processes and ways of working.
  • Enthusiasm to work in the early careers sector.
