Job description

Duties and Responsibilities Key results from the job holder Support the successful planning, co-ordination, delivery and management of projects assigned by the Head of Facilities Managing Contracts and Projects within an acute hospital environment, managing conflicting demands, whilst minimising any potential disruption or disturbance to patients, staff, or other visitors Developing and monitoring projects using project management tools and templates ensuring appropriate reporting at all levels Provide, receive and interpret information to ensure successful delivery of the projects. Recognise complex information and escalate accordingly Work closely with the Sustainability Team to ensure the NHS Net Zero targets are considered as part of any project or commissioning arrangements Effectively document and monitor project risks in line with organisation priorities. Awareness of mitigation and contingency planning. Support the identification, documentation, and monitoring of benefits to ensure projects deliver against agreed deliverables Produce and maintain the formal project documentation required throughout the project lifecycle including the collection of information to support review and/or develop policies and procedures To work to tight deadlines in a complex environment Responsible for the day-to-day management and coordination of the Total Bed Management contract The post holder will set Key Performance Indicators and monitor compliance of contractors in accordance with the SLA or Contract specifications The post holder will prepare specifications and tender documents with the Procurement Department and be involved in the selection process The Post holder will produce project reports, updates and evidence of compliance as and when required. Planning and Organisational Duties The post holder will be expected to utilise highly developed and specialised knowledge across a broad range of work procedures and practices underpinned by theoretical knowledge and relevant practical experience Plan and support the implementation of changes. Recognise when there is a need to adjust deliverables to meet unexpected circumstances To be competent in the use of applications including Word, Outlook, Excel, PowerPoint, MS Teams Implement policies and propose changes to policies and services. Contribute to the review and development of estates related policies and procedures Communications and Key Working Relationships Excellent interpersonal, verbal, and non-verbal communication skills including the use of technology (MS Teams), written documentation and an ability to present to different audiences To develop and maintain good working relationships and adapt communication style to effectively engage with clinical and non-clinical colleagues at all levels within the Trust, as well as key external stakeholders and organisations as applicable Excellent negotiation and influencing skills, including the ability to deliver complex and contentious information in a timely and sensitive manner, in a range of settings To provide and receive complex information; exchange technical project-related information with staff, contractors, negotiate aspects of project e.g. variation costs with other Departments, external suppliers and clinical teams to ensure that projects are delivered successfully To hold regular Contract Compliance meetings with Suppliers to ensure quality of service is maintained. Dealing with contractor grievance and performance issues To report non-compliance and Risks to the Head of Facilities Responsibility for Finance Responsible for the management and monitoring of associated budget(s) utilising the Trusts Financial Management system and complying with the Trusts Standing Financial Orders Responsibility for providing information necessary for the management of variances under the Total Bed Management contract The post holder will manage Purchase Orders, Invoices and discrepancies that relate to their Contracts The post holder will be responsible for checking and acting in their capacity as authorised signatory for all payments to contractors for variances to the specification, in accordance with the Trusts Standing Financial Orders Responsibility for Human Resources The post holder will be required to use tact and diplomacy in dealing with a multi skilled workforce and service The post holder will be empathic when dealing with staff and their problems in achieving deadlines set by Wrightington, Wigan and Leigh Teaching Hospitals NHS Foundation Trust and the service level agreements managed by the Trust Responsibility for Health & Safety Compliance with the Health & Safety at Work Act 1974 the post holder is required to fulfil a proactive role towards the management of risk in all of their actions This entails the risk assessment of all situations, the taking of appropriate actions and reporting of all incidents, near misses and hazards, and a statutory duty of care for their own personal safety and that of others who may be affected by their acts or omissions The post holder will be responsible for Departmental compliance with all relevant Trust Policies and Procedures including the Trust Code of Conduct Responsibility for Teaching The post holder will be required to support and pass on relevant knowledge to less experienced colleagues (such as the wider community team, trainees and apprentices etc) The post holder will be responsible for identifying and contributing towards the training needs of staff and trainees / apprentices where applicable. Particularly in relation to Total Bed Management to reduce Hospital Acquired Damage. Work Circumstances & on-call Your base will be at a RAEI, Wigan or Buckingham Row, Wigan This post will not be required to work on call. The post holder will carry out such other duties as required (at the direction of the Director of Estates of Facilities) to fulfil the requirements of the service.
