Overview:
National Records of Scotland (NRS) is Scotland’s record keeper. Our purpose is to collect, preserve and produce information about Scotland's people and history and make it available to inform current and future and make it available to inform current and future generations.

NRS operates from four buildings in Edinburgh and one in Dumfries. Three of these properties are Grade A, iconic listed buildings in the heart of Edinburgh’s World Heritage site. The buildings provide extensive archival storage along with essential office accommodation for around 450 staff across the entire estate, as well as historic facilities for public access.

A dynamic service-related business area, the Estates function is diverse. The team is responsible for supporting and facilitating the business requirements of the National Records of Scotland whilst simultaneously managing the estate and the associated planned and reactive maintenance, along with minor and major capital improvement projects. A Facilities Management contract provides NRS with supporting maintenance and management services within our buildings and enables us to carry out our statutory obligations.
Responsibilities:
  • Provide operational support for NRS properties and assist the Estates management team in the day-to-day operation of the buildings and facilities.

  • May have line management responsibility for A3 grade colleagues, they will support the Estates management team in the management and coordination of works and services including building fabric, building services, fire and security systems, and projects.

  • Manage the Estates Helpdesk and email inbox, ensuring calls are assessed, actioned or escalated within an appropriate timescale. Investigate and respond accordingly to any reports of faults, breakdowns or building related issues and raise with FM contractor Helpdesk as necessary.

  • Act as point of contact for Health and Safety issues including First Aiders and Fire Marshals and assist with the annual Fire Marshal training. Arranging updates to Health and Safety contacts on Saltire and information sheets displayed across the Estate.

  • Support the review of contract monthly payment applications, raise purchase order requests for approval, review invoices for accuracy and processing and ordering and safe keeping of maintenance related materials and equipment.

  • Develop working relationships to facilitate collaboration with other business areas, ensuring publicly accessible accommodation and facilities are maintained to the appropriate standards and be demonstrably committed to good Health & Safety practice, procedures and guidelines.

  • Ensure Estates related testing and inspection records are updated and accurate and liaise with NRS security team on access requirements including ad-hoc or out of hours requests, from staff and tenants.

  • The post is site based and requires daily attendance in support of operations. The post holder may be required on a rotational basis to be part of an On-Call rota to support with out of hours emergencies or incidents. An additional payment is available for this.

Essential Criteria :

1. Experience in a similar role working within an estates or property related environment, in the delivery of building and maintenance services to meet business critical and statutory requirements.

2. Demonstrate breadth of experience in supporting the delivery of operational building services and activities within a customer facing environment with a proven ability to deliver to a high standard.

3. Experience of working with external contractors in the delivery of building and maintenance services with an ability to manage the team and to work without supervision.

4. Excellent interpersonal and communication skills, demonstrate an ability to work with clients and stakeholders to manage workload and prioritise competing tasks on a daily basis.
