Reports to: Events & Partnerships Manager (High Value Fundraising Events)

Location: Stratford w/ high-flex (1 - 2 days per week in the office). Willingness to work out of usual office hours at busy times and on event days. Time of in lieu is given for events outside the normal working day.

The High Value Fundraising Events team manage high-value fundraising partnerships with committees, individuals and organisations to deliver an inspiring portfolio of circa. 7 special events each year, each with income between £100k - £1m.
As an Events and Partnerships Executive, you'll be responsible for supporting the Event Manager to deliver two events per year and the day to day account management of relationships with third-party partners and high value supporters and committees. You'll play a critical role in ensuring the team reach its ambitious fundraising target and deliver an unrivalled guest experience to our supporters across some of our most high-profile events, with strong links to the world of celebrity.
What will I be doing?
Support the professional and efficient project management and delivery of an agreed number of events in the annual portfolio. Responsibilities will include but not limited to: guest list management, liaising with key suppliers, coordinating sponsorship, celebrity guests, volunteers, entertainment, PR and marketing, and complex event production and logistics.
Supporting the management of key event income streams through raffles, auctions, fundraising games and ensuring that all on-the-night fundraising opportunities are maximised
Supporting the effective development of marketing materials and event collateral
Supporting the management of key supplier relationships ensuring that the best value is being driven for the charity without compromising on outstanding quality as well as seeking gift in kind support
Supporting the planning and delivery of post event thank-you and banking processes
Supporting Events & Partnerships Managers to maintain strong relationships with supporters and stakeholders in your portfolio, to maximise their contribution and retain their support
Researching and securing luxury prize donations for our auctions and celebrate the donors impact
Provide support to the wider team with day-to-day finance processes, including ensuring timely payment of event suppliers
An eye for design so you can feedback to our stakeholder teams and suppliers on graphic design materials, room dressing and creative briefs etc
Maintaining all relevant supporter records on Siebel (our CRM database) to agreed standards.
What skills are you looking for?
Experience of working on complex events or projects
Sound understanding of the principles of high-value fundraising and auctions
Experience of working on multiple projects at once to an agreed deadline and budget
Excellent communication skills, including written communication and a confident telephone manner
Excellent attention to detail
Ability to create compelling cases for support
Experience of building relationships both internally and with external organisations, corporate partners and suppliers
Ability to be flexible and resilient in challenging, high-pressure circumstances
Experience of working with high value supporters and managing volunteers
An understanding of principles of budgeting and forecasting.
