Job Summary
You will be responsible for providing high quality administrative support to Executive Board Directors, as well as providing some support to the Directorate Business Manager and wider Private Office as required. You will work as part of a small team of Executive Assistants, providing cover as required.
Team Summary
This role sits within a team of six Executive Assistants, providing support to Executive Board members and other SCS2 Directors. The team forms part of the Private Office, which works alongside the Strategy, Policy and Governance teams, providing support to the CEO and helping to shape, develop and progress issues that are central to the organisation’s success.
Job description
Key Accountabilites
- Proactive management of the Executive Board Director’s diary, meeting business requirements, resolving conflicting demands on the director's time and planning schedules, ensuring that time management is optimised.
- Arranging business travel and accommodation for the Executive Board Director and other senior members of staff as required.
- Acting as primary point of contact for a named Director, providing support with travel booking; expenses; diary management; meeting room bookings; Workday tasks
- Working with the deployed Directorate Business Manager and supporting the activity of the Executive Board Director and supporting their wider Directorate.
- Acting as primary point of contact for enquiries relating to the Executive Board Director's office using initiative and responding to and/or directing enquiries to the relevant parties, acting with diplomacy and maintaining strict confidentiality at all times.
- Facilitating meetings for the Executive Board Director and other senior members of their team as required
- Event Management - Contributing towards the organisation and coordination of large scale directorate events.
- Developing and maintaining a base knowledge of the key deliverables of the business areas, keeping up to date with changes to key external partners.
- Working as a team with other Exec Assistants to ensure appropriate cover for absences etc, and other administrative support to the Private Office team as required
Person specification
Essential Criteria (to be assessed at application stage):
- The ability to work as part of a team to build and develop strong customer and internal stakeholder relationships.
- Proven written and verbal communication skills, including the ability to clarify detail, provide/obtain information.
- Excellent organisational skills with the ability to prioritise own and others workloads and to undertake independent decisions with regard to own and others workloads without reference to line management.
- Experience of working with senior leader/director within the public or private sector, providing support and demonstrating good judgement on when to act and when to escalate issues.
- Competent level of IT skills with the ability to learn new IT systems and processes
Desirable Criteria (to be assessed at application stage):
- Experience of working as an Executive Assistant or similar role
In the event of a high number of applications, the desirable criteria will be used as a second sift.

Selection process details
Candidates who are successful at sift will be contacted as soon as possible following the closing date and advised of the interview process in more detail. The sift will commence WC 18th March and interviews will be held WC 8th April via video with interview times and dates to be confirmed. (Subject to change)
