Please note the salary is pro-rata for 30 hours a week and will be based at our office in Lichfield city centre.

Pathway Project is a Staffordshire based domestic abuse organisation, supporting adults and young people who have been affected by domestic or sexual abuse. Our mission is to ensure that every adult and young person who comes to us seeking support for domestic and sexual abuse is given an opportunity to engage in services that can help them to make the journey from victim to survivor. We are seeking a well organised Executive Assistant to provide support to the CEO, Operations Director and other members of the staff team as required. 

Job Summary
To provide executive assistance to the Chief ExecutiveOperations Director and other members of staff as necessary, in order to facilitate the smooth running of the project.

GENERAL ADMINISTRATION

1.1 Act as the first point of contact for enquiries, sharing accurate information and signposting
1.2 Deal with postal, telephone and email enquiries across the organisation.
1.3 Maintaining the office diary, arranging visits, meetings, appointments and travel arrangements.
1.4 Maintaining confidential files and other records.
1.5 Ensuring that filing systems are appropriate, and that filing is carried out regularly, kept up to date and accurate.
1.6 Ensuring an adequate supply of admin resources, including stationery orders and beverages.
1.7 Taking minutes, typing and distributing them for internal meetings.
1.8 Ensuring that office equipment is in safe and good working order.
1.9 Support to the fundraising officer in the build-up to events.
1.10 Manage the office cleaner, including time sheets and the reordering of cleaning supplies.
1.11 Signing in visitors and escorting them to the relevant rooms.
1.12 Arrange room bookings.
1.13 Assisting the C.E.O and Operations Director in maintaining statistics and records.
1.14 Maintain the company DBS log, ensuring that all DBSs are in date.
1.15 Assisting the C.E.O and Operations Director in producing information and publicity packs for the service users, students, and external agencies.
1.16 Responsible for weekly fire testing and recording.
1.17 Managing donations.

2 OTHER DUTIES

2.1 Carrying out any other task that might be required from time to time in the interests of the effective administration of the organisation. This job description may be subject to review and amendment. The post holder will be expected to be flexible in her development of the job and will participate fully, where possible, in all discussions about the nature of her work and the tasks involved. Disclosure and Barring Service Check This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service (formerly known as CRB) to check for any previous criminal convictions.
