Your next role

An exciting opportunity has arisen to join as the Executive Assistant to the Chief Executive. You will work closely with the Chief Executive to provide a first-class administrative support.

 The Executive Assistant will provide high level executive business support to the Chief Executive and Corporate Management Team (CMT) activities through the delivery of day-to-day support services and strategic responsibilities, ensuring tasks are completed efficiently and that the office of the Chief Executive operates effectively at all times.

The Executive Assistant will ensure all member & CMT meetings align, there are clear forward plans for the efficiency and effectiveness of CMT & cabinet meetings and all key documentation and governance is adequately recorded.

This role will be the key interface for all external meetings of the CEO to include partner and support in the preparation of the key cross council meetings.

What we’re looking for:

  • Experience of PA / EA and business support activities to senior leaders in a large, complex organisation.
  • Provide a confidential, professional and knowledgeable service for the Chief Executive.
  • Maintain the Chief Executive’s extremely busy and constantly changing diary, ensuring that colleagues are aware of changes that affect them in a timely manner.
  • Excellent ICT skills and experience of using of MS Word, Excel, PowerPoint, Project and Outlook, and using these tools to develop creative solutions to support projects and key activities.
  • Understand the political structure of the Council to include Cabinet Members, Lead Officers, Shadow Cabinet and all Councillors.
  • Deal with emails, correspondence, invitations and invoices and process as appropriate or draft responses for the CEO then follow up and monitor where necessary.
  • Exceptional communication and interpersonal skills, with the ability to interact confidently with individuals at all levels.
  • Manage heavily competing priorities in a high-pressure environment.
  • Able to forward plan effectively but also react positively in the event of unplanned events.
  • Able to work to demanding schedules and delivery deadlines and report progress at senior level.
  • To coordinate and support the Corporate Board weekly meeting.
  • Monitor and administer the Chief Executive’s budgets
  • Assist and understand the Chief Executive’s working style and priorities in order to represent the Chief Executive effectively.
  • Undertake any other reasonable and appropriate duties as may be requested by the Chief Executive.
  • Flexibility to work outside of standard hours as required to meet objectives.
