Job description

We have an exciting opportunity to join our client's growing organisation to as Executive PA to the Chief Executive, Senior Executives and Board. The role is paying £31,000 to £34,000 and will be 100% office based (with free parking) in their South Bristol offices (BS13).

The company

Our client is a multi-academy trust that is committed to delivering an inclusive approach to education; it currently includes eight schools with a further four waiting to join.

The role

Reporting into the CEO responsibilities will include:

  • Acting as first point of contact for the CEO and Central Team
  • Managing internal/external correspondence, enquiries, or requests (Letters, telephone calls, emails, website or through social media, dealing with them through to conclusion or referring them on as required
  • Managing the CEO's and Director of Education's' diary, organising meetings and functions and ensuring these are well prepared for
  • Working the Company Secretary to support the efficient functioning of the Trusts' governance structure (Members, Board of Trustees, and school-based governance activity) in accordance with legal and regulatory guidelines.
  • Seeing advice and guidance from third parties on behalf of the Central Team
  • Providing comprehensive administrative support to the Central Team to include
  1. Diary management
  2. Communications
  3. Meeting scheduling
  4. Requests for information and ensuring deadlines are met.
  5. Preparation of reports, letters, and documents
  6. Preparation of agendas, papers, and minutes
  7. Carrying out background research
  8. Dealing with confidential matters
  9. Maintaining records of signed minutes and meeting papers
  10. Other general administrative duties as required.
  • Managing the policy review schedule for the Trust, maintaining accurate records and liaising with colleaguesto ensure documents are prioritised and reviewed as required.
  • Responsible for the update of content and data to the Trust website and other social media platforms
  • Leading on designing publications, protocols, and other critical Trust documentation
  • Leading on developing Trust marketing materials in collaboration with the Executive Team and schools
  • Building effective and collaborative working relationships with internal and external stakeholders, sharing best practice and knowledge
  • Complying with data protection legislation, managing electronic and hard copy information and the archiving or disposal of documents in accordance with policy and procedures
  • Have an awareness of the educational landscape and its implications for the work of the CEO, the Trust leadership team and Trust governance.
  • Undertaking any other duties as required

Person Specification

  • Previous experience of providing confidential administrative support to senior personnel
  • Previous experience in minute taking.
  • Be able to demonstrate competence in dealing with confidential matters.
  • Demonstrable experience in managing conflicting workload and prioritisation.
  • Highly organised and able to multi-task
  • Previous experience of working in an educational environment would be beneficial.
  • Previous experience of clerking for a governance board would be advantageous.
  • Good attention to detail, accuracy, and presentation
  • Excellent communication skills
  • Strong IT skills including Outlook, Teams, Word, Excel, and PowerPoint
  • Able to use design programmes such as In-Design (or be willing to undergo training in this)

The salary

£31,000 - £34000 plus discount reward schemes, free parking, flu jab, Cycle to Work Scheme, Eyecare Scheme and Local Government Pension Scheme.

Hours - 37 per week Monday 8-4, Tuesday 8-4, Wednesday 8-4, Thursday 8-4, Friday 8-3.30

This role cand be full time or term time with extra weeks (10 working days in the school holidays every year)

Location: Head Office, (BS13) - 100% office based.
