Facilities Lead in London - Working for a highly prestigious firm within their stunning offices, serving as the central point for addressing operational issues related to facility management, ensuring prompt and effective resolution. Develop and uphold standards for facility management practices. Oversee a combination of direct and third-party teams to ensure delivery of top-notch facility services. Regularly review performance metrics and service agreements, addressing any deviations as required.

Detail:

  • Coordinate comprehensive maintenance and repair activities, including scheduled downtimes and significant projects.
  • Implement and refine processes for welcoming new team members and concluding engagements, including introduction sessions and workspace arrangements.
  • Handle the financial aspects of facility operations, including invoice processing within our digital system.
  • Maintain up-to-date layout records utilizing our space management tools.
  • Perform routine assessments of the workplace to ensure optimal conditions.
  • Direct and manage the logistics of office reconfigurations and expansions.
  • Administer the facility's issue tracking system, ensuring effective resolution or escalation.
  • Manage day-to-day aspects of on-site amenities, liaising with relevant contractors and partners.
  • Collaboratively work with procurement and leadership to streamline facilities purchasing and vendor engagement processes.
  • Provide remote assistance to facility points of contact in various European locations.
  • Engage effectively with property stakeholders across Europe to address any facility-related concerns swiftly.
  • Support leadership in implementing various facility-related projects and initiatives across Europe.
  • Assist in an array of projects and tasks as needed by senior facility leadership.

H & S & Other duties:

  • Conduct regular safety audits and ensure compliance with all workplace health assessments.
  • Facilitate safety training and ensure readiness through regular drills.
  • Ensure all health and safety certifications are current and meet building specifications.
  • Collaborate with leadership to maintain consistent health and safety standards across all locations.
  • Manage the comprehensive staff security pass system, including access control.
  • Monitor and review security systems, including access logs and surveillance equipment.
  • Participate in various ad-hoc facility related projects as required.
  • Contribute to the improvement and enhancement of office environments.
  • Support the organization of internal events and initiatives.
