Facilities Management Procurement Data Analyst

The primary objective of this role is to create and evaluate reports using data collected from various aspects of supplier and vendor sourcing, contracting, management, and performance. The key focus is on ensuring that procurement, risk management, and contract compliance standards are consistently achieved and upheld, with particular attention to effectively managing supplier contract documentation and relationships. The management information produced will contribute to the continuous improvement as defined in the business' ISO standards
Responsibilities:
- Support the client and Central FM teams by answering questions related to the contracts process and providing data entry/management support via compliance software and docusign.
- Responsible for data integrity of contract database and other data management tools.
- Administer and maintain contract and supplier files to ensure compliance with organisational and client requirements, administration of supplier files, certificates of insurance, amendments, letters, and other contractual documents.
- Manage incoming/outgoing transition plans for service providers, communicating any contract changes.
- Ensure compliance by auditing sourcing and contracting policies and procedures.
- Develop supplier KPI and risk management tools/reports in conjunction with Senior Central FM team within the compliance software
- Analyse Procurement Data - highlighting risks and reporting, draw insights/stories
- Presentation of data to procurement/supply chain team and wider stakeholders. Onboarding incumbent and new vendors that meet compliance requirements in the allotted time frame for new account start up.
- Maintain data integrity of databases and make changes as required to enhance accuracy, usefulness and access.
- Monitoring statutory and internal compliance, including meeting company policies and procedures, RICS and ISO standards and any statutory timelines and escalation requirements. Compliance with Health, Safety and Environmental legislation including ISO 14001 and ISO 4500
The ideal candidate will have experience working in a similar role and be able to demonstrate:
- Strong data visualization and presentation skills
- Data manipulation skills, including the ability to extract, transform and analyze data sets using MS Power BI
- The ability to problem solve, break down complex issues and develop solutions based on findings in the data
- Experience working within a procurement function
