Facilities Manager

Location: Edinburgh, EH1 3QB
Salary: £31,000 - £34,000, DOE
Contract: Full-time, Permanent
Hours: Monday to Friday - 09:00 to 17:30

Facilities Manager - The Role

We are looking for a Maintenance Manager to join the team!

This role involves being very hands on carrying out minor joinery, plumbing, general maintenance, painting and decorating on a reactive and proactive basis. Directing a small team and delivering a first-class service, you will offer a discrete and highly professional Facilities Management service to residents, office clients, commercial tenants and members of the public.

Key Responsibilities:

• Responsible for managing the Facilities Maintenance Team and the Maintenance Supervisor, who will carry out works under your direction.
• Responsible for directing and liaising with the Administration team, who are responsible for tenant/client communication, scheduling, ordering, and other facilities tasks.
• Schedule the reparation of apartments by liaising with the residential team and inspect finished turnovers to ensure high quality standard is maintained during the move in and out process.
• To ensure the coordination of reactive maintenance is being managed effectively, and to step in and assist when expertise is required, or higher decision making is needed.
• Ensure the teams time is being recorded accurately, and analysing to see if any efficiency improvements can be made.
• To ensure the coordination of Planned Preventative Maintenance is being managed effectively by the admin team and to step in and assist when expertise is required, or higher decision making is needed.
• Oversee the onsite maintenance for communal areas, amenities, and external areas.
• Manage the Facilities Maintenance Divisions budgets, and the impact of time spend in different departments on their individual P&L’s
• Have strategic OKR’s for the division that help other departmental goals and improve Facilities division.
• Ensure operational manuals and Health and Safety paperwork are kept up to date.
• Any tasks as directed by the CEO and other departments, including but not limited to reactive and planned maintenance, soft and hard facilities management services, and any project works.
• Assisting with any Kingsford Development projects.
• Leading minor to larger scale projects and improvements across the portfolio and new developments.
• Arranging and liaising with contractors for onsite works being carried out, ensuring done to satisfactory level.
• Asset management, such as furniture, appliances, electrical goods.
• Ensure health and safety of all sites including removing trip hazards and reporting further as required.
• Ensuring the reporting and recording of reactive and planned maintenance tasks on the CMMS is being carried out.
• Ordering material and supplies to ensure smooth operation of team. Authorising orders that another member of the team is placing.
• Maintaining equipment on site and replacing faulty or out of stock equipment.

In order to be successful in this role, you will have:

Skills;

• Excellent customer, team and contractor interpersonal skills, plenty of energy and enthusiasm.
• Project management skills and Health and Safety knowledge.
• A multi skilled tradesperson with experience in painting & decorating, minor joinery, plumbing and general maintenance.
• The ability to learn a wide range of skills and build up a deep knowledge of the workings of various sites.
• Must be pro-active and able to use initiative to enhance the reputation of our buildings.
• Well organised, ability to problem solve and works under pressure with great decision-making skills.
• Able to demonstrate an organised, professional, and prioritised approach to workload.
• Have a good level of IT skills be able to use Microsoft Office suite and learn new CMMS software.

Experience;

• At least 2 years in a similar role.
• Full UK Drivers License
• At least 3 years management experience
