Fleet Co-Ordinator (Fuel) - Warwick

Salary c£32-£39k pa depending on experience, with excellent benefits

Based at Tachbrook Park, Warwick, we are looking for an experienced Fleet Co-Ordinator to facilitate the seamless delivery of road fuel to Calor's bunkered storage, oversee external fuel withdrawals, and generate management information reports detailing fuel usage.

You will compile comprehensive reports on vehicle mileage/kilometer data, identifying specific areas for improvement and targeting them for enhancement.

Your responsibilities include:

  • Place orders for and reconcile all bulk fuel for Calor bunker stock, including AdBlue.
  • Administer and analyse the Fuel Card System.
  • Oversee all vehicle mileage/kilometre data for carbon reporting and vehicle lease management.
  • Generate periodic vehicle re-location plans to even out fleet mileage / avoid lease penalties.
  • Generate monthly Management Information (MI) data related to fuel for the Fulfilment team.
  • Generate vehicle lifecycle reports for Fuel/AdBlue usage to aid future vehicle purchase decisions.
  • Identify areas of improvement and report against improvement initiatives
  • Investigate fuel discrepancies and potential shrinkage.
  • Ensure all bunker assets are maintained / calibrated in line with statutory requirements and good practice.
  • Conduct review meetings with suppliers and address any issues related to provisions.
  • Coordinate the installation and removal of vehicle fuel devices, ensuring that system records are kept up to date.
    Place orders for, distribute, and monitor driver fuel keys/cards, and report and manage incidents of lost keys/cards.
  • Contrast and compare fuel usage data with the telematics system, identifying and reporting any discrepancies.
  • Manage and coordinate telematics system installations, oversee invoicing processes, and control access to the system.
  • Support the broader Vehicle Engineering Team by addressing vehicle data requirements.
  • Conduct audits on controls and processes at bunkered fuel locations through on-site visits.
  • Offer training sessions, both virtual and face-to-face, to enhance understanding and proficiency in our fuel processes.

We would like you to have/be:

  • Possesses expertise in high value purchasing.
  • Familiarity with Triscan or comparable vehicle fuel monitoring systems.
  • Capability to recognise and address fuel usage issues, identifying root causes.
  • Exceptional analytical skills, proficient in Excel or other database programs
  • Proficient in detailed report writing, with a focus on process and performance improvement.
  • Effective engagement with stakeholders on fuel and fuel system maintenance matters.
  • Adept at managing key suppliers for fuel system maintenance and fuel card provision.
  • Experienced in vehicle technologies and fuel management systems.
  • Skilled user of SAP or similar platforms Knowledgeable in telematics systems.
  • Proficient in writing policies and processes.
  • Very well organised with a high level of accuracy.
