Leeds Building Services (LBS) is the in-house service provider for construction, repairs and maintenance works across the Council. The service currently delivers Responsive Repairs, Maintenance and Planned Works to Council Houses across various parts of the City and Council Assets across 800 sites including Schools, the Civic Estate, Offices, Sports and Leisure Centres and Children’s Homes across the Authority.

As a Fleet Co-Ordinator you will:

  • Responsible for LBS fleet related activity ensuring effective liaison with colleagues in Fleet and operations. 
  • Monitor the LBS fleet ensuring that it is operated safely, maintained appropriately, and produce and present reports which will assist the business to achieve efficiencies.
  • Ensure all servicing, repairs and maintenance is arranged via the appropriate channels, minimises impact to the operational business and maximises vehicle utilisation.
  • Responsible for continual monitoring, bench marking and reporting in relation to fleet operations and utilisation.
  • Provide support to operational teams in all matters relating to fleet.
  • You will be required to drive company vehicles to assist with the LBS fleet operation therefore a driving license is essential.
  • You will be required to hold an ‘O License’ – training will be provided if not held.
  • In addition, you will have a proven track record of working as part of a dedicated team and be effective in managing competing priorities and workloads, responding quickly and appropriately to changing needs and be able to demonstrate excellent organisation and influencing skills.

Job Description

Job Purpose: Responsible for LBS fleet related activity ensuring effective liaison with colleagues in Fleet and operations. You will monitor the LBS fleet ensuring that it is operated safely, maintained appropriately, and produce and present reports which will assist the business to achieve efficiencies.

To achieve high levels of efficiency, cost effectiveness and quality, ensuring maximum performance in accordance with the targets, standards, and policies of the Council. To ensure overall value for money is achieved through the effective management of resources.

Responsibilities

  • Be responsible for the LBS fleet and hold an appropriate ‘O license’.
  • Ensuring that the LBS fleet is managed safely and that all servicing, repairs, and maintenance is arranged via the appropriate channels, minimises impact to the operational business and maximises vehicle utilisation.
  • Responsible for continual monitoring, benchmarking, and reporting in relation to fleet operations and utilisation.
  • Provide support to operational teams in all matters relating to fleet.
  • Work within council policies and financial regulations ensuring all teams are compliant.
  • To ensure that accurate records are produced and maintained for audit purposes. 
  • Support the reporting/performance matrix to assist LBS in raising driver standards and reducing damage and fuel costs.
  • Be the liaison between colleagues on fleet and the staff across LBS to ensure consistency of approach and maximise efficiency.
  • Be aware of and comply with Leeds City Council policies and procedures e.g., child protection, safeguarding, health & safety, confidentiality. 
  • Be aware of and support difference and ensure equality for all working in an anti-discriminatory manner, upholding, and promoting the values, standards and equal opportunities of Leeds City Council. 
  • You will be required to drive company vehicles to assist with the LBS fleet operation therefore a driving license is essential.
  • Flexible and adaptable to change to assist other services as required commensurate to grade. 
  • To participate in appraisal, training and development activities as necessary to ensure up to date knowledge and skills.
  • To improve own practice through observation, evaluation, discussion with colleagues and development programmes.
  • To work collaboratively with colleagues, knowing when to seek help and advice.
  • Contribute to the overall ethos, work, and aims of the service by attending relevant meetings, training days/events as requested.
  • Be aware of and comply with Leeds City Council policies and procedures e.g., child protection, health, safety and security, confidentiality, and data protection, reporting all concerns to an appropriate person.

Qualifications:

  • Post holder will be required to hold an ‘O License’ – training will be provided if not held.
  • A full driving license is essential for this role.

  • Excellent understanding of fleet operations and driving legislation.

  • An understanding of and commitment to equality and diversity in terms of both employment and service delivery.
  • A good knowledge of relevant legislation e.g., HASWA, PUWER, The Workplace (Health, Safety and Welfare) Regulations, Management of Health and Safety at Work Regulations.
  • A knowledge of the environmental impact of operating a fleet and how this aligns the council’s carbon neutral ambition.
  • An understanding of the Council values and a commitment to embed them into ways of working.

Experience Required

  • Experience of working in similar related role.
  • Experience of working effectively with internal and external partners to achieve positive outcomes.
  • Experience of problem solving, individually and in a group setting.
  • Experience of successfully presenting complex information to a range of audiences.
