Job Title: Front of House Reception
Location: SolihullBirmingham, B90 8AJ
Contract: 12 months
Shift hours: 9am - 5pm
Pay rate: 12.30 per hour
PURPOSE OF THE JOB
- To provide support to Elder House and team to ensure professional and timely delivery of all business, administrative and support activities, with a specific focus the smooth running of Elder House
- To support the administration and organization of facilities management at Elder House
- Support the Business HR Manager with any administrative tasks
ROLES & RESPONSIBILITIES
- To answer inbound calls, screen and direct as appropriate, in a professional manner
- Additional ad hoc duties as requested by business support team, e.g. involvement in the organization and support of congresses and events in line with organizational objectives or preparation of invitations, confirmations and literature for training related activities
- To manage and maintain positive and professional relationships with external suppliers, e.g. trainers, caterers, STOK UK etc. and ensure the highest levels of customer service
- To manage Elder House supplies, to include stationery, refreshments and lunch orders
- To support on-site training and events, as a Front of House, to include meeting and greeting visitors and issuing sign-in sheets/ensuring visitors' book is signed
- Role model ABT Values at all times to maintain a positive customer perception of the ABT organization and adhere to ABT quality standards, legal and regulatory requirements and the Code of Business Conduct
- Works according to the highest standards of quality defined by the SOPs
- Liaising with business support team
- To organize and support the planning of campaigns, congresses and national events in line with organizational objectives, e.g. flights, travel, accommodation, correspondence, invitations etc.
- To provide secretarial support as and when required by managers and field based personnel in the proper responsibility of their duties with customers - internal and external
- Support the preparation of invitations, confirmations and literature for all training related activities
- To manage on-site parking at Elder House and book overflow parking as required
- An active key holder to the office and ensuring ID passes are managed
- Reporting into the Business HR Manager requires some HR administration tasks and some tasks will require confidentiality (NDA will need to be signed)
- Manage the new starter and leaver administration process
- Work in liaison with the Business HR Manager
- Carry out Hire Right DBS checks for new starters and employees who require an updated DBS check
- Complete HR filing on site
- Manage the on-boarding process for new starters
- Complete contracts for employees as and when required by the Business HR Manager

EDUCATION & COMPETENCIES
- Educated to A-level;
- Strong written and verbal communication skills;
- Competent to use MS Office Suite to intermediate/advance level;
- Excellent organizational skills and time management;
- Strong interpersonal skills;
