Job description

The Training Coordinator holds a dual responsibility: (1) supporting the development and implementation of the global Safeguarding Training Strategy, including the coordination and delivery of impactful training programmes, and (2) providing overall administrative support to the Global Safeguarding Lead, facilitating their ability to fulfil AKF’s Safeguarding objectives. This role is adept at managing essential administrative functions to ensure that operations related to Safeguarding are carried out seamlessly and effectively. It therefore plays a key role in fostering a culture of awareness, responsibility, and adherence to safeguarding principles across the organisation. Hybrid working; this is a global role reporting to HQ.

4. KEY RESPONSIBILITIES AND CORE TECHNICAL COMPETENCIES

4.1 Training Coordination (65%)

• Strategy Development: Coordinate and contribute to the development of a comprehensive global Safeguarding Training Strategy.

• Record Management: Implement and maintain a centralised training record system, ensuring accurate tracking of staff and volunteer attendance at safeguarding induction and training sessions.

• Methodology Enhancement: Propose and implement innovative training methods such as brown-bag lunch discussions, Q&A sessions, gamification, and discussion forums to enhance the effectiveness of training programmes.

• Material Development: Support the development and sourcing of new training materials, ensuring consistent and engaging content delivery both face-to-face and online.

• Collaboration with Experts: Liaise with subject matter experts to ensure training content aligns with best practices and organisational objectives.

• Needs Analysis and Delivery: Oversee and coordinate safeguarding training needs analysis, adapting training programmes to address emerging challenges and ensuring effective delivery.

• Evaluation and Impact Measurement: Conduct annual training evaluations, measuring the quality and impact of training programmes, assessing changes in practice, and determining demonstrable improvements in outcomes for beneficiaries and the workforce.

• Stakeholder Partnership: Partner with internal stakeholders to identify and address employee training needs, promoting a continuous learning culture.

• Organisational Alignment: Familiarise oneself with the organisation’s policies, history, and values to ensure that all training programmes align with the organisation’s mission.

• Programme Review and Improvement: Review existing training programmes, identify gaps, and implement new modules to address evolving needs.

• Employee Feedback Integration: Seek and leverage feedback from employees to continuously improve the quality and effectiveness of training programmes. 

4.2 Administrative Tasks (35%)

• Documentation Management: Maintain and organise general safeguarding and training documentation, including manuals, participant lists, and feedback forms. Ensure that records are systematically archived and easily accessible for reference.

• Record Keeping: Manage and update databases related to training and induction attendance, ensuring accurate and up-to-date records. Maintain comprehensive databases to track attendance trends, supporting data-driven decision-making.

• Logistical Coordination: Organise logistics for training and other Safeguarding sessions (remote and/or in person) as required, including venue bookings, equipment setup, and coordination of external resources. Handle the coordination of logistical elements to create a seamless experience.

• Communication Liaison: Serve as a liaison for communication between the Global Safeguarding Lead and relevant teams or external partners, ensuring effective information flow and alignment between stakeholders.

• Compliance Oversight: Ensure that all training activities comply with legal and organisational standards, including data protection and privacy regulations. Actively monitor and ensure adherence to regulatory requirements, contributing to the organisation's commitment to compliance.

• Technology Integration: Explore and recommend technological solutions to enhance the efficiency of administrative processes. Stay abreast of technological advancements and propose innovative solutions for administrative improvement.

• Development of Systems/procedures: Support the global capability enhancement through working closely with the global safeguarding team to develop systems/procedures and enhance standards.

The duties and responsibilities as set out above are not exhaustive, and the role holder may be required to carry out additional duties that align with their skills and experience.

 

5. QUALIFICATIONS, SKILLS, KNOWLEDGE, EXPERIENCE, BEHAVIOURS, ATTRIBUTES

5.1 Qualifications:

• Bachelor’s degree in L&D, Human Resources, or a closely related field.

5.2 Skills:

• Highly organised with strong logistical skills and consistent attention to detail.

• Strong interpersonal skills and ability to work in a cross-institutional, multicultural environment dealing with people from all levels of the organisation.

• Excellent written and verbal communication skills in English; additional languages desired (French, Swahili, Dari, Urdu and/or Portuguese).

• Strong operational and IT skills as well as an openness to learning new software and tools.

5.3 Knowledge:

• Proficiency in Learning Management Software, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Office 365, and more specifically, working with Communication Platforms, Database Systems, and Data Analysis Tools. Knowledge of E-Learning Content Authoring Tools a plus.

• Knowledge of or keen interest in international development a plus. 

• Knowledge of Safeguarding/child protection will be a distinct advantage.

5.4 Experience:

• Prior work experience in a similar role.

• Proven experience in planning and coordinating training programmes/workshops/webinars at a large organisation. Experience with Safeguarding/Child Protection training a plus.

• Proven ability to multitask and work under pressure, juggling various requests and deadlines.

• Capable of delivering results within demanding timetables.

• Able to travel and work effectively in challenging environments.
