Responsible to: Practice Manager through Assistant Manager Major Duties and Responsibilities of the Post: Job Responsibilities: To provide an efficient audio, copy typing and word processing service for GPs and health professionals as required. This includes the typing of letters, reports, patient referrals, minutes, memos etc. in an accurate, timely and quality manner. To retrieve patient notes and coordinate the dissemination, assist completion, copy, organise invoice and despatch reports of patient medical records requested for insurance/legal/benefit agencies. Correspondence management; including monitoring the practice email address. Coding and filing the electronic documents. Sort, scan and attach incoming post and then distribute to the appropriate person/s. To use SNOMED coding techniques to upload information from incoming letters onto the patient electronic record, in line with the summarising procedures. To understand and operate the patient referral process as appropriate to the needs of the practice and its patients. To use the e-Referral service and manage the worklist. Register new patients and deduct patients leaving the practice. Ensure Lloyd George notes are sent back to PCSE in a timely manor. Monitor GP2GP registrations and undertake any actions needed. Complete tasks from GPs and colleagues. Including making enquires to hospitals, community clinics and third parties via email and telephone. Manage the process of death documentation, liaising with the Coroners Office, funeral homes and the Registry Office. To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure. Attend meetings and take minutes as required. If required be responsible for checking and securing the premises, data backup tapes, setting the security alarm.
