Job description

Duties & Responsibilities Supporting to the practice manager and the team Ensure all communication receiving to the surgery circulated and communicated accordingly To ensure the day-to-day activities of the practice are carried out accordingly Attention to detail and flexibility in the role is important as is the ability to multitask. Good typing and IT knowledge and skills Maintain self and team professionalism Answering the telephone within three rings in a courteous manner stating your name and the name of the Surgery Advising patients of the choices they have for receiving appropriate medical attention/care. Receiving and recording in full all requests for home visits. Receiving and routing patients on arrival in a courteous and efficient manner Answering general enquiries or routing them to the appropriate team member Explaining surgery procedures, making new and follow-up Receiving requests for repeat prescriptions and processing Opening and closing the premises, checking heat and ventilation and setting the alarm system.
Ensuring that the records of any patients are available to the doctor when requested Sorting internal mail as appropriate, in accordance with defined procedures Filing and extracting records and ensuring there is no back log of filing Checking patients' details on the computer and correcting/updating registration details and completing appropriate Registration forms when necessary Registering new patients both in person and on-line, including ensuring that all registration forms have been completed correctly and booking patients for health checks Arranging for letters to be posted or making telephone calls to patients as directed by the practice manager or partners Taking messages for members of staff (such as doctors, nurses, the practice manager or the secretaries) and relaying them accurately, in a using the appropriate technology Eg. Telephone or email/sending a 'message Scanning & coding of hospital letters, results and other data into the correct patient records Maintaining room/equipment booking diaries as required When needed, providing clerical and typing support for the clinical staff Assisting with other administrative duties particularly in the absence of other staff Preparing & emptying appropriately with the correct distribution, contents of the weekly courier bag. Undertaking photocopying, receiving and sending emails, where possible, ensuring that appropriate checks are made before sending confidential Material including that relating to patients and/or staff, following the guidance in the confidential policy. Ensuring that the reception area is left tidy, presentable and Health & Safety compliant at all times.
And ready for use by incoming colleagues Briefing incoming colleagues on any unresolved or urgent matters (hand over) Attending regular staff meetings Attending mandatory training curses/study days Learning new appropriate skills Taking on a regular duty designated to you Enter requests for home visits into the appointment book, ensuring careful recording of all relevant details and where necessary refer to Duty Doctor Action repeat prescription requests and ensure that they are ready for collection by the patient within 48 hours Advise patients of relevant charges for private (non-NHS) services, accept payment and issue receipts for same Undertaking duties as may be determined from time to time by the practice manager or partners commensurate with the range of activities described above or appropriate to your work Data Entry - scanning Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice Deal with all general enquiries, explain procedures and make new and follow-up appointments Using your own judgment and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery. Action repeat prescription requests and ensure that they are ready for collection by the patient within 48 hours Advise patients of relevant charges for private (non NHS) services, accept payment and issue receipts for same Ensure correspondence, reports, results etc are filed promptly and in the correct records, ensuring that all recent correspondence is available when patients are seen Ensure records are kept in good repair with all necessary information on the outside cover clearly visibl Ensure the working environment is kept clean and tidy and air and tidy the waiting room in turn with other staff Premises: o Open up premises at the start of the day when first to arrive, de-activate alarm and make all necessary preparations to receive patients o When last to leave at the end of the day, ensure that the building is totally secured, internal lights are off and the alarm activated o Keep entrance to the Surgery and the drive area tidy and clean in turn with other staff Ensure that all new patients are registered onto the computer system promptly and accurately Undertake any other additional duties appropriate to the post as requested by the Partners or the practice manager
