EQUANS is looking for a Helpdesk Operator to join our team based at Sandwell Hospital on a permanent basis. This is a full time role working 40.25 hours per week (shift pattern). On offer is a salary banding of £24,000 – £27000 per annum and shift allowance as well as benefits package.

You will report directly to Contract Services Manager and will be responsible for receiving, logging, and updating Helpdesk requests, whilst ensuring that the operation supports and complies with the Sandwell and West Birmingham Hospitals Contract. The successful candidate will also plan and dispatch all work that is logged on the Helpdesk.

Please note before applying: This role is working days, 4 on 4 off which sometimes may cover a weekend or bank holiday.


What will you deliver?

  • First Point of contact for incoming telephone calls and service requests received by telephone, fax and email
  • Input & prioritisation of Service Requests from Users onto the CAFM system
  • Dispatching of Reactive Work Orders ensuring the SLA is met
  • Closing down of Reactive Work Orders
  • Support in the preparation and issue of Planned Maintenance Work Orders
  • Support in the closing down of Planned Maintenance Work Orders
  • Assist in the maintenance of Helpdesk records & filing system
  • Assign work, monitor and flow up Subcontractor Works
  • Input and retrieve data efficiently and accurately on a daily basis using the computerised systems within helpdesk, producing information and reports as and when required
  • Control & monitor flow of all job requests
  • Provide administrative support if required in keeping records (sickness/holiday absences, works, inspections, audits, etc.) producing reports and general office administration
  • Act as first point of contact for internal and external parties providing information on departmental procedures where appropriate
  • Provide cover for colleagues during sickness, annual leave etc
  • Attend and participate in Training courses as required and to undertake any training in the future as may be required to ensure the duties of the post are effectively carried out
  • Familiarisation of the Operation and Site
  • Participate in the Shift Rota for the role
  • Assist with raising purchase orders for reactive/quoted works and PPM utilizing the COUPA purchasing system
  • Carry out other reasonable duties within capability.

Who are we looking for?


  • Strong Administrative experience in a busy office environment
  • Sound organisational/co-ordination skills
  • Good interpersonal skills & telephone manner
  • Proficient use of Microsoft Office applications including Word, Excel and Outlook
  • Flexible approach to working
  • NHS/Hospital experience advantageous
  • Facilities Management experience advantageous
  • Good Health & Safety knowledge.

This role includes a Standard DBS check therefore ability to pass is essential.
