Job description

The HR Administrator is responsible for providing day to day support the director and is responsible for the administration associated with recruitment, on-boarding new staff, holidays and absence, employee files and leavers from the business. The role is pivotal to ensuring that HR documentation is accurate, handled appropriately and meets both legal requirements and our high standard of audits by retail.

The HR Administrator will support the whole employee lifecycle from producing documentation, to collating and inputting data onto the Personnel and Payroll System (Equator) as well as undertaking the maintenance of paper files. Working in a fast-paced business, the HR team is small and accountable for the management of two businesses on the same site. Overall there are 242 employees across manufacturing and support services.

The main responsibilities of the HR Administrator include but are not restricted to:

  • Setting up on-line recruitment adverts or providing relevant information to recruitment agencies.
  • Receipting and managing the progress of applicants with the Recruiting manager, including organising interviews and rejecting unsuitable candidates.
  • Generate offers of employment, including contracts and associated 'new starter’ documentation for manufacturing staff.
  • Ensuring right to work documentation is received, checked and held appropriately on file for all new starters
  • Setting up the employee file and entering their record onto the Equator system
  • Setting up pass fobs for access gates
  • Providing managers with Induction paperwork in a timely manner ready for new starters first day.
  • Requesting and following up employer references
  • Responding to requests for references
  • Provide general HR information to the business as required, such as holiday or absence standards, policy information, printing of documentation etc
  • General administration such as bank/mortgage references, updating home addresses, next of kin, bank details etc
  • Input any holiday or absence information to Equator where the portal is not being used.
  • Filing and maintenance of Equator system and paper files as required.
  • Providing administration support for Employee Relations management, including taking notes in formal meetings on behalf of a Team Leader / Manager.
  • Facilitate and support the Employee reps monthly meeting in conjunction with the Compliance Manager / Operations Team
  • Providing Administrative support for exit interviews and the leavers process.

Qualifications and experience

Essential:

  • Minimum 2 years previous experience in a HR admin role
  • High competency level in use of Microsoft packages - Intermediate
  • Proven track record of working accurately and with confidentially a priority.
  • Experience in KPI reporting.
  • Excellent communications skills including, supporting meetings, taking notes, assigning and confirming actions,

Desirable:

  • Some understanding or experience of Payroll would be beneficial
  • CIPD part qualified or working towards
  • Language (European)
