The Role

Overall purpose

This is a Maternity cover role and will provide administrative support across HR and the wider support team. The role will involve responsibility for the day to day HR processes, client delivery administration, and PA support to the People Partner.

HR responsibilities include:

  • Maintain and update HR database PeopleHR and proactively optimise the use of the HR database and Applicant Tracking System to improve efficiency of HR processes and service provision to the business.
  • Assist with the recruitment process across the business including posting job adverts, assisting managers with organising interviews.
  • Ensure that contracts of employment and other employee correspondence are issued promptly and followed up as necessary.
  • Providing onboarding and leaver administration including screening processes and setting up induction meetings, preparing final pay and benefits, arranging exit interviews.
  • Ensure that all pay related changes are made in PeopleHR and external payroll provider processes these accurately.
  • Proactively organising learning burst schedule
  • Organise assessment days (e.g. placement students) as needed.
  • Organise training for new and existing employees as appropriate.
  • Assist with other key HR processes and projects as needed.

Office support duties include:

  • PA support to the People Partner
  • Co-ordination and administrative support for the client delivery team such as:
    • Printing and producing event materials including proofing, house-styling key documents and reports to a high standard, working creatively with PowerPoint slides, manuals, and handouts
    • Assist with co-ordinating events creating timetables, setting up Zoom links, sending out relevant materials and ensuring the teams have everything in place.
    • Booking travel and accommodation
  • Office support answering phones/front door, monitoring/ordering stationery, coordinating couriers, first aid/fire marshalling, arranging lunches etc.
  • Other duties as may be required in a small team-oriented business

Person specification:

  • Previous HR administration and knowledge of day-to-day HR processes
  • Experience of working in a busy administrative role.
  • You will be working with sensitive data both internally and externally so attention to detail and care over your work is important, as well as the ability to maintain confidentiality.
  • Client-focused - able to build relationships around the business and externally.
  • Strong organisation skills and enjoy administrative tasks as well as more stretching tasks and contributing to the development of the team.
  • Proactive approach with a continuous improvement mindset.
  • Comfortable working within a team as well as autonomously.
  • You will have excellent IT skills, particularly around Outlook, Word, and PowerPoint, Zoom, Teams and SharePoint, and with the desire and capabilities to learn new skills as required.
  • Willing to work in the office two days per week and attend monthly company meetings in the office.

  • Salary range: £25-30,000 per annum FTE
